Job Title: Personal Assistant to our CEO
Reports to: Operations Officer
Place of Work: The Path Entertainment Head Office
Hours of Work: 40 hours a week, including occasional evenings and weekends

Overview
We are seeking a talented personal assistant to our CEO of the path, entertainment group.
Must be highly organised, intuitive and solutions driven. Our CEO travels extensively and experience of booking flights and accommodation and managing multiple time zone schedules would be a highly advantageous.
The ideal candidate would have a background in hospitality, theatre, arts, or immersive attractions and be looking for a high paced, high energy, progressive growth organisation to be part of.
We are looking for this role to provide a long-term commitment to the business and its growth.
Job Duties
Personal
● Precise, responsive and efficient diary management for the CEO. Effectively balancing his busy schedule with the high volume of emails and meeting requests, and ensuring priorities are met and no items are missed.
● Reply to emails on behalf of the CEO to maintain timely responses and to promote positive working relations with partners and stakeholders.
● Meticulously follow up on all email correspondence, documents, meeting requests, to ensure all items are completed, even when delays are caused from external parties.
● Ensure the CEO attends and ends meetings on time, to fulfil all scheduled commitments.
● Arrange travel, visas, accommodation and travel packs for national and international trips.
● Complete monthly expense forms with accuracy and provision and follow up to ensure timely payment.
● Carry out background research where necessary to assist with projects and presentations.
● Collate all necessary information, documents, reports and papers for the CEO ahead of meetings and visits, to ensure he is well prepared.
● Manage personal accounts on behalf of the CEO, acting as a third party nominee to deal with any issues / requests directly.
● Minute meetings when requested to do so, and follow up with clear notes and action points.
● Proof read documentation, contracts and copy on behalf of the CEO.
● Ensure the careful filing, returning and documenting of folders, contracts, and paperwork.
Administration
● Be the first point of call for all phone calls and correspondence to the office. Welcoming and greeting guests on arrival, representing the company and being the gatekeeper.
● Diligently open up digital meeting spaces, such as Zoom / Google Meets in a timely manner for all necessary meetings, ensuring all participants are present and presenting elements are accessible.
● Lead contact for all office suppliers, such as IT, internet & phones, printers, cleaners, building management/maintenance etc.
● Manage and replenish stationary and office consumables stock levels.
● Research, order and arrange any required office items and/or improvements such as furniture, tech, filing systems, & decorations.
● Manage the booking system for any meeting rooms / break out spaces, and any external hires.
● Update and maintain website copy and updates as required.
Production
● Book accommodation and travel when needed for company members and/or creatives.
● Book comps and house seats for company members and/or guests.
● Assist the Operations and Production teams to organise press nights / launch events.
● Lead and maintain the organisation of filing both for physical and digital documents and assets. Alongside the organisation of any archive items, props, marketing materials, contacts, and contracts.
● Collate and print audition material, and find and book audition space.
● Assist with sourcing / requesting props, print, artwork, signage etc. when required. Keeping track of spend and receipts.
