Personal Assistant

Contract: Permanent
Working hours: 35 hours per week, Full-time. You’ll agree your working pattern with your manager.
Salary: £36,000 per annum
Reporting to: Senior Leaders
Location: London Docklands - Our permanent hybrid policy sees us all working four days across a fortnight in the office
In your role you will support senior leaders – helping them to fulfil their responsibilities effectively to meet our organisational commitments.
You will thoughtfully manage diaries, email inboxes in line with their preferred method of organisation, prioritising strategic objectives and all incoming actions and their deadlines. This requires excellent diary management where you will need to be mindful of conflicting priorities.
You will act as the point of contact for your senior leader, advising colleagues of their priorities and availability. You will support 2 senior leaders and may, at times, be asked to support 3.
As a Personal Assistant, you’ll demonstrate resourcefulness, trustworthiness, and discretion. You’ll be required to confidently handle sensitive and sometimes personal information whilst proactively monitoring any problems, issues, or tasks that may arise. You’ll work flexibly and proactively, using your common sense and judgement when completing your varied range of tasks.
Key responsibilities
- Taking responsibility for delivering your objectives and helping your senior leader meet theirs – working collectively, particularly with other personal assistants, to contribute to meeting our wider commitments
- Developing deep knowledge and understanding of senior leadership responsibilities and priorities – to identify potential impact and share or highlight relevant information at the right time in the right way
- building strong relationships with, and understanding the role and remit of senior leaders including their direct reports, to enable you to support them effectively and efficiently
- Supporting your senior leader’s direct reports when needed
- Providing full business support - arranging meetings/events including booking venues, making travel arrangements, sorting out agenda timings, logistical issues and sending invitations
- Filtering calls, correspondence, complaints and requests – knowing when it’s appropriate to look after, or investigate, it yourself, and when to ask for more input or review
- Capturing information from meetings and workshops and producing accurate minutes or presentations when required – outlining clear actions to the relevant people, and following up to ensure agreed actions are completed on time
- Inducting new senior managers in the senior leader’s area, when necessary, including creating schedules
- Systems administration including recording holiday and sickness for their direct reports
To be considered for this role, you’ll need to show us that you’ve got the skills and capabilities.
You’ll have to meet the following minimum criteria:
- Experience of working as a PA to senior leadership/director, including excellent use of Microsoft Outlook, familiarity with other packages such as Word, Excel and Power point
- Demonstrate ability to deliver at pace - ability to work independently, organise your time, and manage a busy workload of competing tasks to deliver deadlines and priorities
- Excellent judgement and being a proactive problem solver
- Showing accuracy and exceptional attention to detail
- Communicating in a straightforward and approachable way with people at all levels
