We are looking for a Personal Assistant to the Production Director. This person will provide proactive, timely and efficient PA support to the Business Unit Leader and his management teams. Anticipating the needs of the Director to ensure the effective and efficient confidential support for business success.
Their role will include:
- Diary and e-mail management to include coordination, correspondence and associated support to enable the Director and his direct reports to work more efficiently. Manage and prioritise diaries for appointments, rearranging and cancelling where required. Coordination, redirection and management of correspondence / queries for the Business Unit Leader and his direct reports.
- Arranging accommodation and travel for the Director or members of the leadership team in the business area where required.
- Organise and coordinate the smooth running of external and internal meetings, taking minutes and action where required. Distribute, coordinate and chase key actions to support the department.
- Support with key recruitment for the Business Unit Leader or other key positions as specified. This includes, but is not limited to, inputting and managing vacancies on the Recruitment Management System, completing initial vetting of candidates, arranging interviews and arranging and supporting the induction of new joiners.
- Ad-hoc travel with BU leadership team or to business meetings to effectively support business operations for the Production division.
- Minute taking and support for formal meetings concerning HR and Evolve processes, ensuring that confidentiality and accurate record keeping is maintained.
- Support the production of reports, presentations and other documents to support the business operations and objectives.
- Liaise and manage external relationships to support the business area’s success. Acting on behalf of the Directors where appropriate ensuring knowledge and support to support business success.
- Lead the effective use / management of Canon Technology to support the business area with documentation, communication and promotion tools available.
- Working closely with the PA community to ensure that knowledge of business area is sufficiently shared and understood.
- Support budgeting process and management, coordinating and storing relevant information. Track relevant expenditure, collating any accruals. Liaising with team and finance departments as required.
- Manage and coordinate business area PO’s. Utilise required internal systems ensuring requests are completed and issues resolved.
- Organise events, setting and monitoring standards. Locate and book venues for external meetings in line with requirements, liaising with contacts before and during the event to ensure smooth running.
- Support in key initiatives and projects to support successful business delivery.
- Maintain up-to-date records for information in a way that is easy to retrieve and in line with Data Protection requirements. Collate key reports on behalf of Channel Director as required and share with other agreed stakeholders.

You will need
As the Production Personal Assistant, you will possess the following skills and expertise;
- Good standard education attainment including GCSE English & Maths or equivalent
- Typing Speed 50-60 wpm
- Confidential
- Good working knowledge of Outlook, Word, Excel, Powerpoint, Teams.
- Self-motivated individual who is confident and capable and dealing with people at all levels
- Excellent planning and organisational skills
- Remains calm under pressure & displays patience in dealing with difficult situations/individuals
- Communicates effectively at all levels and able to adapt style to suit the situation
- Has high integrity and is able to handle sensitive and confidential information in the correct way in both written and verbal formats
- Uses tact and diplomacy, maintaining confidentiality and trust
- Confident to exercise judgement and make decisions without referral
- High attention to detail
- Assertive and able to co-ordinate a broad range of tasks, delegating responsibilities where appropriate
- Proactive approach, anticipating needs and responding appropriately
- Ability to perform under pressure
- Able to deal with people from a range of cultures
- Previous PA experience
Further Information
Salary – £29,661 & £31,309 + 5%
Location – Stockley Park, Uxbridge / Hybrid Working 3:2 in the office.
