Job holder’s primary objectives

The Payroll and HR Assistant position is an exciting opportunity for someone who has experience as a Payroll Assistant and has a keen interest in gaining generalist operational experience as part of a dynamic HR team. To ensure that all aspects of all employee benefits and payroll are accurately processed, maintained and safeguarded. Providing a quality service to entire UK HR team in all areas of the employee life cycle.

General Benefits, Payroll and Compensation activities:

  • Provide monthly inputs for all of the group’s payroll consisting of 400 + employees.
  • Prepares monthly payroll files for review and sign off within the business, e.g. variations report.
  • Point of contact for employee questions relating to all aspects of payroll, benefits and compensation
  • Maintains standing data for all employees, including managing new starters, leavers and absences as well as contractual changes to current employees.
  • Adheres to payroll policies and procedures, complies with relevant changes to the law and propose improvements to the process.
  • Coordinate and manage the payslip issuing process via the online system.
  • Reconcile timesheets to payment and investigate any anomalies and resolve discrepancies.
  • Honours confidentiality of employees' pay records.
  • Update and reconcile monthly pension uploads accordingly.
  • Manage Benefits enrolments and determine employee eligibility.
  • Manage the administration of the Payroll, Compensation and Incentives process.
  • Keep updated employee records with all relevant information (marital status, years of service, hours worked etc.)

HR Assistant activities:

  • To assist the Director of HR with any administrative requirements in relation to EMEA & APAC
  • Proactively assist with the coordination of the administration of the new starter process, interviews, salary reviews, immigration, incentivisation letters, probations, benefit renewals, leaver process.
  • Support the employee life cycle and ensure accurate records are maintained and assist with user queries where necessary.
  • Assist with the recruitment and onboarding process as directed by the HR team.
  • Maintain strong working relationships with all teams across the HR division both locally and globally.
  • To assist with the maintenance of existing administrative systems and carrying out data integrity checks
  • To assist with provision of employee data from electronic records for production of any requested reports as required
  • Assist with any eLearning or training and development related administration as required
  • Remain up to date on aspects of UK employment legislation and advise where required.
  • Help manage the HR email boxes on a daily basis, in collaboration with the HR Team
  • Ensure all HR filing is up to date and that right to work documentation is correct and up to date
  • To undertake any other duties as required from time-to-time to meet the needs of the business
  • Assist with any HR projects, as instructed by the HR Team, for example but not limited to IR35, HDR Integration, recruitment, TUPE processing, organisational change, Employment Tribunals, DSAR requests, benefits or payroll related projects.

Required Qualifications

  • Previous experience supporting a Payroll and HR Function
  • Ability to project a positive, welcoming and professional attitude at all times.
  • Able to work as part as a team and collaboratively and co-operatively.
  • Attention to detail, diligent at all times and a proactive attitude.
  • Keep updated employee records with all relevant information (marital status, years of service, hours worked etc.)
  • Good written and verbal communication skills
  • Be able to take direction and report progress on your work with others.
  • Be driven and proactive with ability to work autonomously on occasion.
  • A personable approach and a ‘can do’ attitude is essential.

Desired Qualifications

  • Willing to work towards a CIPD qualification.
  • Educated at ideally A-Level, equivalent and above.
  • Competency in MS Office, Outlook, PowerPoint, SharePoint are desired.
  • A commitment to a career in HR
  • Be organised and comfortable juggling multiple work streams.
  • Good administration skills with ability to multi-task
