INFORMATION

Hours of Work: 8:00 a.m. – 4:30 p.m.

PURPOSE
The Payroll Supervisor will compute and process payroll and benefits transactions, complete periodic payroll reports, reconcile payroll liability accounts, prepare payroll journals, and maintain employee records. Incumbent will document procedures for desk manual to be used by Tlingit & Haida.


REPORTING RELATIONSHIPS
Reports To: CFO
Supervises: 3 Payroll Technicians
Liaison To: N/A


ESSENTIAL FUNCTIONS
  • Audit, code, and enter data from personnel action forms and timesheets
  • Process employee benefits and deductions
  • Calculate payroll adjustments for leave, voids, retroactive pay, overpayments, and final pay
  • Monitor payment of federal taxes and employee withholdings in compliance with federal and state guidelines
  • Reconcile payroll data, monitor and audits federal and state wage and tax reports in compliance with federal and state guidelines, and workers compensation reports for audit
  • Reconcile yearly payroll data and W2 calculations and forms to federal government in compliance with federal guidelines, process other reports as necessary
  • Reconcile payroll and benefits liability accounts in the general ledger each month
  • Prepare journals related to payroll
  • Provide training staff on electronic timesheets, leave requests, and employee self-service
  • Provide training and assistance to staff on payroll system
  • Perform filing duties of payroll functions: timesheets, personnel action forms, employee withholdings, benefit enrollment forms, and reports
  • Resolve any necessary payroll and/or reporting issues with state and/or federal agencies
  • Document procedures and prepare desk manual to be used by Tlingit & Haida
  • Review and approve payroll and benefits related documents prior to entry in the payroll system
  • Respond verbally or in writing to benefit inquiries from employees and outsource partners
  • Understand and explain benefit plans as needed
  • Enroll eligible employees into benefit plans
  • Coordinate annual employee benefits fair
  • Ensure compliance with federal and state regulations
  • Assist in the annual external financial audit by providing all requested sample selections
  • Other duties as assigned

NECESSARY SKILLS AND KNOWLEDGE
  • Knowledge of payroll, accounting, and benefits procedures
  • Must be able to maintain confidentiality
  • Ability to use an integrated accounting software system, Microsoft applications and electronic applications
  • Ability to handle multiple tasks and priorities in a constantly changing environment
  • Strong analytical, problem solving, and organizational skills
  • Excellent communication skills – verbal, written, and presentation
  • Accurate data entry and attention to detail skills
  • Ability to interpret, apply, and explain law, regulations, and policies
  • Ability to identify discrepancies or inaccuracies in data and make corrections
  • Ability to be a team player

MINIMUM QUALIFICATIONS (education, experience, skills)
  • Bachelors’ Degree in Business Administration, Accounting, or related field
  • Three years’ experience in payroll
  • Two years’ experience with an automated accounting system
  • Two years’ supervisory experience

Substitution
  • Additional experience may be substituted for formal education on a year for year full time equivalency basis

UNUSUAL PHYSICAL REQUIREMENTS OR RESTRICTIONS
The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs. Travel on small aircraft or ferry may be required.
