Payroll Manager
£53,470 - £56,285
Location: London/Paddington – Hybrid
12 Month fixed Term Maternity Cover - 35 hours per week

About the role
To be responsible for the effective operation of the Group’s payroll function including systems, processes and procedures and compliance with all relative legislative requirements
Key responsibilities include:
· Responsible for calculating, processing and producing the payrolls, monthly costing reports and expense runs to the agreed timetable, Checking the monthly payroll and passing for review by the Head of Group Finance.
· Complete all statutory forms and returns, review and send by the due dates.
· Responsible for ensuring all employee changes and upload temporary data onto the Group’s payroll systems, for example, tax codes, pension enrolments or withdrawals, manual payments and any other ad hoc changes, ensuring data is accurate and up to date.
· Responsible for ensuring all employees are provided with all information regarding their personal salary, pension and tax details when required and for ensuring the safeguard and the confidentiality of all employee information at all times keeping all information secure. To communicate and resolve their queries.
· Primary point of contact with Human Resources. Responsible for holding meetings on a regular basis to ensure all the changes are processed and are properly authorised and that process improvements are made
· Primary point of contact with the Finance Department to resolve payroll queries and providing management information as required.
· Design and provide staff cost reports and analysis as required by any other central or operational department. Provide all required information for management accounts, budgeting, forecasting and the yearend audit.
· Responsible for ensuring that all necessary payroll related month-end journals and reconciliations are completed and processed accurately into the finance system and to timetable.
· Primary contact with HMRC and other external organisations and responsible for the completion of any statutory forms and returns that are required, process the monthly RTI (Real Time Information), Tax Year End, including P11Ds, PSA’s and to ensuring all statutory forms and returns are sent by the due dates.
· Responsible for proactive analysis of legislation changes and possible impact on the business, advising and communicating with the wider business as required.
· Responsible for the processing, balancing and updating the 3rd Party Payments for Head of Group Finance’s sign off. To ensure that all PAYE, NI and 3rd Party Payments are made in line with the HMRC and other deadlines.
· Responsible for all pension administration (responding queries, preparing letters, monthly reconciliation and submission and the triennial valuation processes and the committee paper updates.
· Responsible for maintaining the bonus schedules for the senior bonus and reporting to EMT as required. Main point of contact with HR in relation to bonuses.
· Responsible in implementing any recommendations from internal and external audit reviews and improve internal processes and systems ensuring appropriate control measures are maintained at all times.
· To keep up to date with the Group’s personnel policies
· Responsible for the management and the resilience of the payroll team. Ensuring they are trained, appraised, and developed in accordance with internal and statutory procedures, including the Group’s Health & Safety and Equality & Diversity policies.
· Responsible in maintaining the payroll-system, ensuring system implementations, upgrades, patches and parameters are implemented and tested to standard, including interface feeds.
More about you:
- Payroll qualification. – CIPP or equivalent
· Substantial experience of all payroll tasks (end to end), ensuring submissions are made to external bodies for example, HMRC.
· Experience of processing and calculating variable payments and manually calculate payslips.
· Experience in auto-enrolment and pension administration.
· Experience of reward and bonus schemes.
· Experience of payroll accounting and processing into the finance system.
· Reporting and making payments to statutory authorities and producing cost reports for accounting systems.
· Experienced in managing the payroll function
· Experience of using Microsoft office packages including Word and Excel.
