An opportunity has arisen for a motivated and enthusiastic individual to join the Women’s Services Maternity Administration Team in the role of Patient Administration Clerk working within the Women and Newborn Unit at Bradford Royal Infirmary. The hours are 23.5 hours per week, to be worked across three days, two of which must be Sunday and Monday. The third day will be discussed with the successful candidate.

The shift pattern will be Sundays 08.30 – 16.30 with a 30 minute lunch break and the two other days will be 08.30 – 17.00 with a 30 minute lunch break. There may be an occasional need to ask individuals to stay for an extended shift (until 8 pm) to cover short notice sickness within the team.

The post holder will be expected to cross cover colleagues in times of annual leave and sickness. You will also be responsible for manning the main Maternity Reception and M2 Women’s Health Unit Reception on a rotational basis.

You will have a high standard of communication and interpersonal skills with the ability to work with staff at all levels.

  • To assist colleagues with workload, providing administrative support relating to the Consultants, Midwives, Nursing staff, and their teams, including, filing, faxing, photocopying, opening and distributing mail, booking case notes in and out as appropriate, clinic preparation.
  • Provide Reception cover and effectively communicate with patients, visitors and staff face to face.
  • To input clinical/administrative data such as referrals, booking outpatient appointments, and entering inpatient activity
  • To ensure that case notes are kept up to date and that all investigations and other material (outside notes and films) are available for clinic appointments/admissions and that letters/results are filed in the appropriate place in the case notes.
  • To effectively and efficiently administer and maintain all relevant IT system
  • Works in close liaison with secretaries and assists in the smooth running of the department to undertake other clerical duties as delegated by the colleagues as and when required.
  • Cover for colleagues during periods of sickness, annual leave or training which may include management of own workload when necessary for short periods of time throughout the year (with support and guidance from seniors when required).
  • Required to receive and manage telephone and personal enquiries, often of a sensitive nature in a constructive and sympathetic manner, referring to the appropriate person where necessary and rerouting these calls when required.
