Job description

The admin and booking assistance is an integral part of the patient journey and requires a lot of customer contact. It’s critical that candidates have excellent customer service experience, polite and eager to assist patients and colleagues. As a part of the role you will need to be highly organised with the ability to multitask, work under pressure, and handle shifting priorities while maintaining attention to detail. You must be able to work well within the team, whilst able to use their own initiative to resolve problems and be able to effectively communicate information both orally and in writing.

Responsibilities

· Manage referrals and enquiries from GP surgeries, NHS, Insurers, and self-pay patients via electronic transfer (E-RS), telephone, email and post in timely manner.

· Input relevant patient data into tracking and reporting, and updating patient booking systems.

· Assisting with collating information for reporting of KPIs (Key Performance Indicators)

· To communicate and coordinate with clinical teams to ensure we book patients into services taking into consideration a patient’s needs, treatments required, and timeframes requested.

· To attend External MDT (Multi disciplinary team) meeting to take notes on the outcomes for our patients.

· Contact and communicate to patients and third parties by phone, email, and letter.

· Enquiry handling and estimate / quoting for self-pay patients

· Managing patient, referrer, and clinicians’ expectations, maintain exceptional customer service level answering or escalating all questions and enquiries in a timely manner as appropriate.

· Ensure a high fill rate is achieved for each consultant / department to increase efficiency

· To safely handle and use confidential information, understanding the processes of confidentiality within the hospital, and when communicating with third parties.

· Work with wider admin teams to collate documents required for medical records or referrers for new and existing patients as required.

· Other ad hoc duties requested by the management team

Job Types: Full-time, Part-time, Permanent
Part-time hours: 25 - 37.5 per week

Salary: From £23,000.00 per year

  • A-Level or equivalent (required)

Experience:

  • Customer service: 3 years (required)
  • Administrative experience: 3 years (required)
