Who we are
United Kingdom Biology Competitions (UKBC) is a charity based in England which provides educational services to over 1,000 schools and 60,000 students annually. We are looking for a part-time administrative assistant to aid us with the running of the charity on a contract basis.
UKBC currently writes and administers three biology competitions annually: British Biology Olympiad (BBO), Intermediate Biology Olympiad, and Biology Challenge. The competitions are focussed on UK school children aged 13-18, but students can also enter from schools internationally. The winners of the are invited to a practical selection round, currently held at the University of Warwick. Subsequently, we take a team of four students to an International Biology Olympiad (IBO) each summer.
What we need
We are looking for an administrator to run the day-to-day of the charity. This would predominantly involve responding to school queries about the exams, providing administrative support for the exams (registering new teachers, reconciling which schools have paid invoices and those which have not), and promoting upcoming competitions. In addition, there are more ad-hoc tasks such as arranging the charity AGM, the flights and accommodation for the team to travel to the BBO finals in Warwick and the IBO. As well as, any additional tasks as the need arises.
We would expect the work to be half time in the weeks before exams and the IBO (8 weeks), near full-time in competition weeks (6 weeks), and 1 day a week in the rest of term time (spread across the week, 27 weeks) and one day a fortnight outside of term time (13 weeks): in total 17 working weeks.
Currently, our peak competition times are: March (BBO), May (BC), June (iBO), July (IBO), but can vary year-on-year.
Who we are looking for
Essential
· A competent, independent administrator with good IT skills
· Part-time work, but understanding of the spikey nature of the competition cycle (i.e. busier in term-time than summertime)
· DBS-checked for our child safeguarding policy
· Able to work on and prioritise a range of different tasks both independently and collaboratively
· Good communication skills to liaise with other organisations, including universities, charities and schools.
Desired
· An interest in biology and education
· Worked on reconciling finances between bank account and admin portal before
· Working with schools/teachers/education sector previously
· Experience of customer service/help desk via email and phone, preferably with schools or similar
