The Opportunity:
The Library & Archives Paraprofessional 3 (LAPP3) Circulation Lead position works directly with students, faculty, staff, and the public to provide customer-focused library services. The Circulation Lead contributes to students’ success by providing a welcoming, inclusive learning environment. The position supervises the day-to-day operations of the Circulation Department including leading assigned staff. In the absence of the Librarian, the position may assist with basic reference questions or direct students needing additional help to a remote librarian. This position works under the general supervision of the Public Services Librarian.
This is a full-time, Classified position, working an 11.5-month cyclic schedule, and is located in the Library at the campus in Mount Vernon, Washington. The hours are variable and may include evening hours.

Customer Service/Circulation Desk
- Welcome students and direct them to the appropriate resource (librarian, etc.)
- Assist customers at the Circulation Desk;
- Check library materials in and out including renewals in person, via email, or by phone;
- Stamp due date cards
- Place holds for patrons, checking expired hold shelf and redirecting materials not picked up to either be re-shelved, placed on hold for another patron, or set in transit back to the Whidbey campus
- Manage patron records including blocking patron records including waiving fines/fees
- Process and transfer materials for holds or return between campuses
- Catalog brief bibliographic records
- Process new books brought over from Reference Desk
- Sort and distribute the mail
- Respond to basic reference and directional questions for the Library/campus in general about where to find certain materials, buildings, offices, etc.
- Work collaboratively with various campus departments on student accounts
- Schedule conference rooms utilizing 25Live
- Assist patrons with printer and minor technical issues
- Compile statistics for circulation area including gate count, conference room usage, etc.
- Compile documentation and submit forms to initiate collections proceedings for patrons with large fines/fees
- Interview and select candidates for hourly and work study positions
- Process hiring paperwork for new hourly and student workers
- Train, oversee, and support hourly and student workers
- Assign job tasks to hourly and student workers
- Create quarterly work schedules; adjust as needed and give the okay to take time off or make up hours or rearrange scheduling with other students
- Plan and manage budgets from any source for hourly and student worker
- Complete hourly and student worker evaluations as needed
- Monitor general stacks and assign tasks including shelf-reading, shelving returned materials, shifting as needed to make room
- Maintain a cleaning schedule for the library stacks
- Use the Online Computer Library Center (OCLC) Worldshare system to monitor requests and transfer materials between libraries nationwide (sometimes internationally)
- Create and update Interlibrary Loan bibliographic or item records in integrated library system
- Create new Interlibrary Loan requests for faculty/staff when necessary
- Contact the Business Office to issue invoices for lost Interlibrary Loan materials
- Assist Technical Services paraprofessional with processing newly purchased materials when needed including covering books, adding pockets, barcodes, and property stamps
- Create analytical reports as needed
- Count money in collaboration with other personnel
- Represent the Library on College committees
- Assist with compiling statistical data for special projects
- Maintain supply inventory for Circulation area and request supplies for purchase
- Other duties as assigned
Knowledge and/or understanding of:
- Customer service skills. Anticipate, assess, and respond to customer needs in a timely manner;
- Library management systems, library collection, and organization;
- Library policies and possess critical thinking skills for assessing when exceptions to policies should be made;
- All duties are intrinsic to managing a circulation desk, including reserves, and running notices;
- Basic printer skills, such as changing the toner, maximizing the printer resources, reloading paper trays, trouble-shooting printing problems, fixing paper jams, and “purging” the printer when it is not printing;
- OCLC system for updating interlibrary loan request status and records;
- Basic Word, Outlook, and Excel functions for creating lists, letters, labels, spreadsheets, and documenting statistics and reports.
- Familiarize yourself with the operation of new equipment, learn the functions and limitations, and use the new equipment;
- Maintain accurate records and follow-up on periodical claims in a timely manner;
- Plan and manage time effectively;
- Identify and handle competing priorities, make effective decisions within short time frames, meet deadlines, and take appropriate actions;
- Keep supervisor and co-workers informed of need-to-know items and share complete and accurate information with others;
- Work cooperatively with co-workers, both in the library and in other departments.
Minimum Qualifications:
- Fluent in oral and written Spanish.
- High school completion or equivalent and three (3) years of applicable library technical experience including one (1) year beyond the entry level.
- An Associate degree in Library Technology from an accredited program and one (1) year of technical experience in the functional operations of a library.
- Equivalent combination of education and experience.
Desired Qualifications:
- Bilingual in Spanish and English.
- Post-secondary education or certificate in Library Science or other Information Literacy field.
- Experience working in a library in a college or higher education setting.
- Excellent oral and written communication skills.
- Salary is based on Range 53, Step A, $4,602 per month with periodic increments to $6,046 per month. Starting salary may be dependent on education, qualifications, and experience. Salary and benefits are subject to change in accordance with legislative mandates and collective bargaining agreements.
- This position is eligible for overtime pay in accordance with the Fair Labor Standards Act and is dependent upon continued grant funding.
- This is a union-represented position subject to a collective bargaining agreement.
