Job Description: Personal Assistant (PA) to CEO with Real Estate Focus
Role Overview:
We are seeking a dedicated and experienced Personal Assistant to provide comprehensive support to our CEO while bringing expertise in real estate operations. This role involves managing both administrative tasks and utilizing real estate knowledge to assist in property-related matters. The ideal candidate will possess excellent organizational skills, attention to detail, and a deep understanding of property management.
Responsibilities and Duties:
Executive Support:
- Provide proactive and efficient administrative support to the CEO, managing calendars, travel arrangements, meetings, and communications.
- Prepare documents, presentations, and reports for CEO's meetings and presentations.
- Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication.
Real Estate Expertise:
- Leverage your real estate experience to assist in property-related decisions and discussions.
- Monitor and track industry trends, market conditions, and property values to provide insights for strategic decision-making.
Property Management Support:
- Oversee property and facilities management across our portfolio, ensuring safety, maintenance, and compliance.
- Collaborate with internal teams, tenants, contractors, and service providers to ensure seamless property operations.
Contract and Expenditure Management:
- Manage contracts, procurement, and tendering processes for property-related projects, repairs, and maintenance.
- Track and manage property-related expenses, ensuring accuracy and adherence to budgets.
Document Management:
- Maintain records related to leases, compliance reports, property documents, and contracts.
- Organize and manage property-related documentation, ensuring easy access and retrieval.
Environmental and Energy Management:
- Assist in energy efficiency initiatives and environmental compliance within the portfolio.
- Coordinate utility services and ensure proper documentation of energy-related matters.
Stakeholder Engagement:
- Foster strong relationships with tenants, contractors, and suppliers, ensuring effective collaboration.
- Represent the CEO's office in property-related discussions and meetings.
General Administrative Support:
- Assist in general administrative tasks such as managing office supplies, coordinating events, and supporting the overall office management.
Qualifications and Skills:
- Proven experience as a Personal Assistant or Executive Assistant to senior executives.
- In-depth knowledge of real estate operations, property management, and industry trends.
- Excellent organizational and multitasking abilities with high attention to detail.
- Strong communication and interpersonal skills to liaise effectively with various stakeholders.
- Proficiency in document management, contract administration, and budget tracking.
- Ability to maintain confidentiality and handle sensitive information.
- Proficient in using office software and tools (Microsoft Office Suite, scheduling tools, etc.).
