About The Role
We are looking for a Personal Assistant to provide support to the Executive Director of Sales and the wider team in a fast paced, creative and dynamic environment. The Executive Director of Sales heads up the team which includes the Licensing and Promotions & Experiential departments.
The role requires attention to detail, juggling of priorities, an upbeat can-do attitude, and includes a wide range of duties.
What You’ll Do
- Diary management and meeting organisation for the Executive Director of Sales
- Inbox management
- Taking minutes of meetings and ensuring that all action points are followed up
- Liaise and coordinate with other Executive Assistants and Personal Assistants as well as the wider Licensing, Promotions & Experiential, and Acamar teams
- Generating correspondence, meeting and presentation preparation
- Travel arrangements for the Executive Director of Sales including producing itineraries
- Coordination of trade show meetings
- Processing credit card and expenses for the Executive Director of Sales
- Managing and tracking the T&E budget for the Licensing and Promotions & Experiential teams
- Liaising with international agents with a sensitivity to time zones and languages
- Preparation of presentations for Board Meetings, company and team Away Days, etc
- Setting up conference calls and Zoom calls for external/internal meetings
- Preparation for trade shows
- Arrange external meetings including catering and travel when necessary
- Any other ad hoc duties that may be reasonably required from time to time
What You’ll Bring
Essential:
- An experienced Assistant with solid experience of providing high-level and varied support to senior personnel in a fast-paced environment
- Ability to multitask and prioritise effectively
- Strong organisational skills
- Diary management and general secretarial skills
- Excellent knowledge of IT systems and Microsoft Office packages
- Experienced in dealing with confidential information and documentation in a sensitive manner
- Highly numerate with exceptional attention to detail
- The ability to produce high quality documents in a timely fashion
- Proven communication/presentation skills – both verbal and written
- Confident in communicating with the team and liaising with other departments

Desirable:
- Experience working for a small, growing team or independent start up is preferred but not essential
- Experience of working within the Entertainment and/or Consumer Products industry is a helpful advantage
