In detail

The Goodstuff PA & Front of House Assistant is a pivotal role at the agency. As a junior PA to the Chief Client Experience Officer, they will be organised and proactive, doing all they can to ensure the CCEO’s working life runs as smoothly as possible. Based on Front of House, and alongside the Office Coordinator & FoH Assistant, they are the face of our agency. They are jointly responsible for greeting all Goodstuffers & visitors whilst ensuring our agency environment is best in class.

The PA & FoH Assistant is expected to develop strong Goodstuffer relationships in order to support the smooth and seamless running of the agency. They will be based in the agency full time and will report into the agency EA.

They are able to remain calm under pressure, are always willing to lend a helping hand and enjoy building relationships with those around them.   • Full diary management including arranging client and internal meetings
  • Timely completion of expenses and timesheets on behalf of the CCEO
  • Undertake research on new clients and provide the information to ensure the CCEO is prepared for all new business meetings
  • Support the CCEO in project work across the Client Experience teams
  • Travel booking where required
  • Welcoming guests and notifying the relevant Goodstuffer(s) when they arrive, ensuring all visitors to Goodstuff receive the best welcome and that they are supported in their visit to Goodstuff
  • Answering phone calls, filtering and either transferring appropriately or taking messages to promptly pass on to the right person
  • Ensuring that the Front of House area is immaculate at all times
  • Setting up morning breakfast delivery in each kitchen
  • Ensuring appropriate music, reflective of the Goodstuff vibe, is playing from 8.30am each morning and throughout the day
  • Managing meeting room bookings through Matrix (our booking system)
  • Maintenance of agency admin and databases ensuring the information is up to date
  • Setting up meeting rooms including refreshments, stationery and IT
  • Tracking/signing in and out IT equipment and door fobs
  • Sorting incoming/outgoing post and couriers
  • Being a source of information for the agency (from how to connect to screens in meetings rooms to logging office issues)
  • Ad hoc office project support
