JOB TITLE: PA/ EA to CEO and COO
HOURS: Part time (3 hrs / day, 5 days a week)
LOCATION: Oxford based

1. General Information

2. Job Summary
AH is looking to appoint a PA / EA to support the CEO and COO (CXO) with their duties. We are looking for individuals that are excited about:
- Being a part of a start-up team that is passionate about improving the health and wellbeing of the population
- Applying their organisational, project management, communications, and people skills to support the CXO’s focus on improving the day-to-day operations of the business
- Taking responsibility for the management of key administrative areas of our business, and running small projects
- Working flexibly (we don’t have offices) with weekly F2F catch up’s with CEO (Summertown) and dealing with diverse requests
- Learning and developing their skills as we grow our business
3. Duties and Responsibilities
Duties and activities to support the CXO’s could include:
- Dealing with emails (phone calls) by responding, passing on messages or highlighting them for the executive’s attention
- Managing diaries and organising meetings and appointments, often controlling access to the executive
- Booking and arranging travel, transport, and accommodation, organising events and conferences
- Reminding the executive of important tasks and deadlines
- Compiling, and preparing reports, presentations, and correspondence
- Managing databases and filing systems, dealing with training and compliance admin
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers and clients, collating and filing expenses
- Miscellaneous tasks to support the executive, which will vary according to the individual’s responsibilities and remit, e.g., completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or monitoring competitor activity and conducting research.

Education & qualifications
Qualifications related to PA / EA duties would be preferable
A track record of self-development
Previous Experience
Providing senior level PA / EA support for 2+ years
Experience of dealing with clients and suppliers
The ability to prioritise tasks and information appropriately
The applicant has experience of working with or in the Health and Wellness industry in an administrative or project management capacity
Attributes / Skills / Knowledge / Ability
Good listening, reading, writing, and speaking in English that enable effective communication about business matters with clients and colleagues
Excellent, interpersonal verbal and non-verbal skills
Clear and concise written and spoken communication skills
Ability to work with the highest levels of confidentiality and integrity
Self-motivated and an ability to manage, prioritise and organise own workload and use initiative
Ability to multi-task and think creatively
Participate in regular meetings
Commitment to their own personal development and attend training or development activities as required
The applicant must demonstrate:
Previous experience of working within a multidisciplinary team
The ability to communicate effectively with both colleagues and clients
Initiative and the ability to deal effectively with pressure and/or challenge
Understand the start-up working culture
Additional Information
The applicant must demonstrate appropriate professional behaviour, i.e., integrity, honesty, confidentiality.
The applicant must have the right to work in the UK and have criminal records clearance at the appropriate level subject to prevailing UK legislation.
The applicant must understand the need for confidentiality, in and out of the working environment (see further details below).
Schedule: working remotely with weekly F2F catch up meetings, varied hours (including occasional weekends).

Positions are available on a part time basis at this time. This will be reviewed and updated as needed by the business.
