The Company
Psych-UK Ltd is the leading provider of online mental health services in the United Kingdom, made up of three large chambers of consultant psychiatrists divided by specialty, as well as nurse prescribers and non-clinical support services, assessing and treating 2000+ patients each month within the NHS and private sector across all ages.
Job Summary
You will help to coordinate and deliver a PA service to a number of Clinical and Business Managers and Executives within Psych-UK Ltd as well as group support functions including the Comms Lead.
The post will require you to accurately minute a number of regular and ad hoc meetings across the business during core business hours and provide cover for colleagues within the PA team. Publication of minutes is time sensitive and use of strategies such as recording the meeting is acceptable where appropriate if you have the consent of the attendees and depending on the level of meeting sensitivity. Meeting categories will include Clinical Chamber meetings, Business Development, Contract and Commercial Meetings, Comms, People Support and Departmental meetings.
Examples of activity – this list is not exhaustive but primary duties will include:
- Attend and arrange meetings, events and schedules using Microsoft Teams and 365 software
- Record accurate and concise minutes
- Provide flexible PA support to the Executive Team, Senior Managers and Clinical Operations and Comms Lead and occasionally to the Board and Chairperson
- Diary management, organising meetings, preparing agendas and corresponding with internal and external attendees.
- Work closely with all stakeholders to follow through actions leading the implementation of procedures and processes to embed into to day to day operations
- Document preparation and Sharpoint management of same
- Helping to coordinate company events
- Assist with travel and accommodation bookings and itineraries
- Assist in the preparation and distribution of scheduled reports
- Maintain contact lists
- General administration
- Provide cover for colleagues when and where necessary
- Plan own workload to ensure that weekly, monthly, quarterly and annual tasks are met.
- Prioritise workload with consideration to issues arising and responding to shifting priorities appropriately
- Actively participate in regular supervision with the line manager
- Participate in audits, performance monitoring and meet objectives
- Completing mandatory training
Required Skills
- Excellent written and verbal communicator with a high degree of literacy,
- Above-average IT skills and be conversant with Microsoft Office software suite and be readily adaptable to fast-paced changes in service.
- Broad knowledge of Excel
- Ability to remain calm under pressure
- Be positive and solution-focussed
- Ability to accurately follow instructions, but also use own initiative
- Meticulous attention to detail
- Excellent time management skills and able to prioritise workload with consideration to issues arising and respond to shifting priorities appropriately.
- Excellent organisation skills and the ability to multitask
- Able to work well in a team but also with autonomy and minimal supervision
