The Role

The School of English Literature, Language and Linguistics are looking to appoint an Operations Administrator. This successful candidate will join a small team who together support the activities within the School.

The role is focused on providing comprehensive support to the Head of School and School Manager, as well as working closely with key colleagues on projects and processes throughout all operating areas.

Key Accountabilities Responsible for coordinating and supporting designated committees, sub-committees or working groups, including booking rooms, coordinating papers, drafting agendas, and taking minutes, maintaining and proactively managing actions. Alongside supporting these activities, this role is the co-chair for our Equality, Diversity, and Inclusivity Committee so a keen interest in this area would be beneficial To provide administrative support to the Head of School, School Manager and Senior Management Team (as required), including (but not exclusively) in relation to meeting requests, diary management, conducting initial investigations/research or drafting correspondence as required. This may include complex reports, letters, proposals or presentations To lead the administration of designated processes in the School including finance, complex travel arrangements, and HR/People Services. Receiving initial enquiries/requests/applications; application of agreed operating procedures (escalating as appropriate) and monitoring progress. Taking responsibility for determining the appropriate mode of communication and accuracy of the content when conveying information To lead and provide administrative support to specific projects including data collection, presentation and analysis, website and social media ongoing reviews and updates and student engagement/employability activity To undertake a proactive role in the health and safety management of the School, contributing to the maintenance of a safe working environment for colleagues and visitors Assisting in updating our School website and social media Work in a small team to advertise and appoint to our Student Leader roles To proactively receive, resolve and respond to enquiries received into the School, to ensure that an effective service and clear advice is provided to colleagues and customers. Working closely with other units in the Faculty and across the University To develop, implement and maintain effective office procedures and systems to ensure that support is efficient, timely and accurate Any other duties within the scope and general nature of the grade which may be required

The Person (Essential)
Initiative and judgement to resolve problems independently.
Good written and/or oral communication skills with an ability to choose communication tools appropriately e.g. selective use of emails and other channels of communication. Comfortable using face to face communication regularly.
Ability to use Microsoft Excel, Word, Outlook, and PowerPoint, and ability to type documents with both reasonable speed and accuracy and the ability to manipulate and analyse information for management purposes.
Effective at working independently, organising and managing a heavy and complex workload with flexibility for changing circumstances.
Uses systems and tools to ensure records and audit trails are clear and up to date.
Co-operates with others in achieving targets with high quality results, taking responsibility for achieving own targets and keeping team members up to date with progress.
Pays attention to detail and is factually correct – giving consistent messages.
Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications, plus work experience in a relevant role.
