ProfileTree is an award winning digital marketing agency based in Belfast, Northern Ireland, who helps their clients generate leads and sales through structured digital strategy, sleek web design and engaging digital content. We are excited to recruit a talented Operations Manager who will be equally excited to contribute to the innovation, thinking and development of ProfileTree's operations.


Key Responsibilities

  • Accountable for daily operations to ensure the smooth running of the business, while ensuring the business is well coordinated and productive by managing its procedures and coaching the team.
  • Work alongside the team to ‘keep our house in order’ in terms of back office support, enabling client teams to focus on world class delivery and exceeding client expectations.
  • Improve the operational systems, processes and policies in support of organisations mission – specifically support better management reporting, information flow and management, resource utilisation, business process and organisational planning.
  • Maintain and promote positive, effective relationships both internally and externally with colleagues, clients and all stakeholders.
  • Constantly assess, question, and improve key business functions order to drive competitive advantage for the agency.
  • Reflect the values and collaborative culture of the business both externally and internally.
  • Manage relevant business operating systems, processes and infrastructure to help the company deliver efficient and sustainable, profitable growth.
  • Continually evaluate systems to ensure fit for purpose now and in the future.
  • Implement the use of business reporting metrics across the business to monitor performance including project health, resource utilisation and team health.
  • Continually evaluate team and project performance, highlighting issues to Senior Management, while proactively suggesting solutions to make things better.
  • Become the company’s go-to problem solver, helping relieve the strain on other management and the CEO.
  • Compile, collate and document all systems and checklists to ensure the company’s processes are visible to all staff and adhered to at all times.
  • Provides oversight of current projects, engagement of new client projects and coordination of tasks that lead to quality product delivery.
  • Assist with any specials projects as required by the business.
  • Help the management team map out career development plans for their teams as part of a wider workforce plan linked to the company vision and commercial objectives.
  • Help recruit, retain, develop and manage staff in accordance with legislation and Company policy.
  • Help set and manage client expectations on major accounts by assisting with accurate scoping (reflected in contracts) and developing SLAs at the onset of relationships.
  • Assist the management team in dealing with any client issues and complaints, smoothing relationships and investigating internally.
  • Serve as an internal resource for staff to drawn upon in order to ensure that client work is meeting the agency standards throughout the entire life cycle from inception to implementation and evaluation effectiveness.
  • Lead, inspire and manage your team, ensuring their ongoing professional development and the retention of key staff.
  • Provide highly-visible, professional management and leadership across all operational areas of the business on a day-to-day basis, maintaining the highest levels of staff engagement.
  • Contribute innovative ideas and look for ways to increase value on client/internal projects and future-proof the business.
  • Lead by example. Support the team personally and professionally with a good understanding of people development, employment law and management responsibility for the welfare of our staff.
  • Help the management team deliver against the company vision and commercial targets.

Essential Criteria

  • At least 3 years’ experience in a similar role.
  • Strong background and work experience within the Digital Marketing Industry.
  • Knowledge and experience in organisational effectiveness and operations management implementing best practices.
  • Excellent people manager, open to direction

  • Experience of using project management and CRM software

Desirable Criteria

  • Experience within a Digital Agency environment

Hybrid working is available for this role; you will be able to choose a pattern of working which can incorporate both working from home and/or working in the Belfast office over the course of the week. (Please note that this role is based permanently in Northern Ireland. We are not in a position to offer this as a permanent remote position at this time.)
