Your Role
As Clinic Operations Manager you will:
- Reporting to the Regional Practice Director, the Clinic Operations Manager plays a critical role in the practice, being accountable for managing the day-to-day clinic operations by supporting the Regional Practice Director and the organization’s leadership team and frontline employees.
- Manage operations, and administration activities of the clinic.
- Develops staff in collaborative decision making and shared governance to ensure a shared voice in clinical care practice, exchange of ideas, enhanced communication, and continually improved clinical and patientcare outcomes.
- Develop a strong culture of teamwork to ensure the quality of daily operations.
- Collaborate and support cross functional teams in the implementation of new or changing patient care standards of practice, scope of practice, competency development and assessment, policies and procedures and new programs.
- Determines staffing needs and plans, monitors performance of clinic, and coordinates activities with other clinics, centers, units and / or departments regarding patient care.
- Work in partnership with other Leadership members to identify improved practice operations through the oversight and participation in projects.
- Manages patient care in a cost-effective manner, consistent with the financial goals of the organization. Plans and is accountable for the annual operative and capital budget for areas of responsibility.
- Collaborates and provides input, on marketing, facilities, and fiscal planning. Drafts business plans to introduce quality improvements to clinical service delivery in accordance with best practices.
Job Responsibilities:
Leadership and Management
- Responsible for ensuring smooth operation of the center and maximizing patient satisfaction.
- Promote team development in a cohesive, positive, and professional manner.
- Provide direct feedback and support to team members as appropriate.
- Act as a role model by demonstrating clinical management expertise.
Patient Care
- In collaboration with all appropriate team members, lead the design, implementation and monitoring of patient care and processes and procedures to ensure smooth operation of the clinic using in depth knowledge of patient care delivery systems including but not limited to:
- Standards of Practice
- Clinical Pathways
- Medical Directives
- Policies and Procedures
- Ensure appropriate systems and resources are in place to support timely and appropriate patient flow and smooth transition and coordination of patient services across the continuum of care as applied to the services of the clinic.
- Ensure patient complaints and concerns are dealt with promptly and formally reported.
- Collaborate with team members and physicians to develop the clinic schedule.
- Ensure processes are in place to promote holistic approaches that assess patients’ medical, functional, cultural, emotional and psycho-social needs.
Human Resources
- Responsible for monitoring workload data and patient volumes/patient activity and working with the Regional Practice Director to ensure appropriate staffing levels.
- Manage and prepare necessary documentation (promotions, transfers, relocations, leaves, terminations, etc.) advising payroll and updating HRIS system accordingly.
- Responsible for facilitating performance management review processes which includes coaching, performance feedback, and helping staff set and meet their professional goals and objectives.
- Identify, investigate, document and report performance/practice concerns and issues.
Financial Management and Reporting
- Work with head office Finance team to develop annual budget and growth plan for the clinic.
- Accountable for monthly reports of the clinic’s operating results and any variances to budget.
- Identify and implement efficiencies in collaboration with members of the leadership team.
Payroll
- Responsible for processing bi-weekly payroll using ADP.
- Reconcile payroll prior to transmission and validate confirmed reports.
- Prepares payroll data entry; vacation pay outs, allowances, increases, retro-active adjustments, verifying and inputting taxable benefits, setting up garnishments, and other deductions.
- Support head office Finance department with payroll data audits.
Other
- Other duties as assigned by management and/or Physicians.
Experience / Position Requirements:
- Strong business acumen and extensive experience managing business operations, as well as staff scheduling, inventory, and people management.
- 2+ years in people management.
- Specific knowledge of payroll preparation and corresponding labour standards.

Job Types: Temps plein, Permanent
Salary: $95,000.00-$115,000.00 per year
