We’re looking for an Operations Manager to join our fast-growing software and design agency. As part of the senior leadership team, you’ll be responsible for day-to-day management of the business, running one of the UK’s leading SaaS clinical record systems, overseeing design and software development projects, and maintaining key client relationships. Working closely with our CTO and Creative Director, you’ll play a key role in defining overall commercial strategy and shaping the development of the business.
We’re a small but fast-growing software and design agency (currently a team of seven) located in beautiful countryside between Canterbury and Hythe. We specialise in producing software, websites marketing materials for a wide range of clients including major international pharmaceutical companies, trade associations, insurance brokers, and public affairs consultancies. Many of our clients are from overseas.
In addition, we own and maintain Qunote (www.qunote.com), one of the UK’s leading cloud-based SaaS systems allowing private practice Case Managers, Occupational Therapists, Psychotherapists and the like to keep their patient data, record their clinical notes in a secure environment and do their billing. You’ll act as Product Manager for Qunote, as well as overseeing support, client onboarding and marketing.
Responsibilities
- Product and delivery management: Act as product and delivery manager for SaaS product Qunote - defining product roadmap based on feedback from external and internal stakeholders; developing new feature specifications; working with design team to define UX and develop visuals; delivery – planning development process and managing development teams; support with testing
- Account and project management: Acting as account manager for most valuable clients, and managing projects to ensure they are delivered on-time and on-budget. Includes receiving projects briefs, scoping project requirements, preparing and presenting proposals/bids, developing specifications, managing workload of design and development teams, liaising with client as projects progress.
- SaaS client support and onboarding: Managing Qunote support team and dealing with escalated support tickets.
- Compliance: Overall responsibility alongside CTO for maintaining company’s ISO27001 and Cyber Essentials certifications. Ensuring information security management system documentation is updated and leading annual certification audits.
- Business development & marketing: Exhibiting at industry conferences, overseeing marketing activities including promotional campaigns and GoogleAds, drafting and negotiating contracts with larger clients
- Day-to-day business management: Defining strategy, planning, budgeting, invoicing, accounts, HR and recruitment.
Required skills and experience
Essential:
- Educated to degree level, or significant experience in a relevant role
- Ability to effectively plan and manage design and development projects
- Track record of successfully onboarding and managing clients
- Strong organisational skills and an ability to work on multiple projects and systems
- Excellent communication skills
- An analytical mind and excellent problem-solving skills
- A proactive, can-do attitude, and the initiative to develop new skills and knowledge
Desirable:
- Senior leadership experience
- B2B SaaS product management experience
- Track record of successfully dealing with large international clients
- Knowledge of Information Security and ISO27001

We’re offering £35-40k D.O.E plus bonus and a 5% contributory pension, 20 days’ annual leave plus bank holidays and a day off on your birthday. You’ll be encouraged to develop your skills set, with funds provided for you to undertake relevant external courses or training programmes.
The position is predominantly office based, but there may be an opportunity for hybrid working once you’ve got to grips with the role.
We’re based in a beautiful location out in the sticks so you’ll need a driving licence and vehicle.
