Job description
Bramley Health's Langford Centre Hospital is actively looking to recruit an Operations Manager that will work closely with the Hospital Director to manage the day-to-day running of the hospital, finances and operating systems, as well as dealing with all general administration, facilities management and people issues at The Langford Centre.
Key Duties & Responsibilities
Managerial
- Undertake line manager duties for all ancillary staff; to include appraisals at appropriate junctures, annual leave requests, pay queries, and any other issues.
- To assist, support and guide subordinates in their day to day activities and to accept overall responsibility for the effective performance of their sections.
- To plan and think ahead in order to identify any potential disruptions to the efficient day-to-day running of the service.
- To assist the Hospital Director with handling complaints and investigations.
- To ensure that all relevant advice and information relating to the Company and your departments is communicated effectively to the ancillary staff.
- Through processes of effective recruitment, training, team building and motivation, build a team that is equipped to meet the administrative and operational challenges satisfactorily.
Finance
- Work closely with the Hospital Director to monitor income, expenditure and cash flow and update the organisations budget accordingly, as per financial management system in place.
- Record incoming financial resources, process all invoices and expense claims.
- Maintain the petty cash and ensure accurate recording of all petty cash expenditure.
General Administration
- Provide IT systems support to staff, undertake IT troubleshooting and liaise with our external IT consultants to ensure the good maintenance and operation of the IT network and website.
- To ensure quality and compliance is maintained in line with CQC standards and Bramley Health's policies and procedures.
- Ensure all audits within Bramley Health's quality and compliance schedule are adhered to and submitted within the required timeframe.
- Meeting and event administration (setting meeting dates, collating and issuing agendas and papers, arranging venues and catering, taking minutes).
- Ensure that all filing, both paper and electronic, complies with our data protection guidelines.
- Provide the day-to-day administration for the office (drafting letters, ordering all office supplies etc.
People Management
- In liaison with the Human Resources Department, coordinate recruitment processes for staff.
- Coordinate induction processes for new staff, keeping the Induction Programme up to date, and acquainting each new member with their work setting and the standard policies and procedures with which they must comply.
- Help ensure Langford Centre complies with legal obligations for all staff files and documents.
- To assist the Hospital Director with performance management processes, investigations and Disciplinary and Grievance Hearings
Facilities Management
- Deal with all internal services, including utilities, supplies, repairs and security.
- Liaise and negotiate with external suppliers including equipment lease agreements, insurance renewal and regular office checks (PAT, fire safety, boiler maintenance)
