Reporting to: Senior Operations Director
Job Location: Hybrid working, 3 days work from home, 2 days in our London office

Short description of the role:
Working as an integral part of the team in a highly varied role, you will be responsible for ensuring that the day-to-day operations of our business run efficiently and smoothly. The role will also see you supporting the Directors and working with our external HR, IT and recruitment partners to execute the day-to-day agency operations.
You’ll be the oil in the machine – keeping all parts working brilliantly together to ensure we are operating to the highest efficiency and standards.
You will be noted for your diligence, thoroughness, proactivity, aptitude and efficiency, you are encouraged to seize responsibility at every opportunity.
Summary responsibilities:
OPERATIONS MANAGEMENT & ADMIN DUTIES
- Building a robust system to help you and the Operations Director manage supplier, utility and other contracts that will ensure we are always on the best rates and contractual terms
- Keeping internal operational and process manuals up to date with the support of the Operations Director to ensure administration processes work effectively and efficiently
- Finance support including processing expenses, reconciliation of company credit cards and management of petty cash. Including supporting the Operations Director with forecast and pipeline reporting
- Operational reporting including utilisation, timesheets, outsourced partnership performance
- Support Operational administrative day to day tasks such as supplier NDAs, contractor booking documentation and updating of our CRM
- Keep our project management system up to date
- Review and keep up to date all legal and compliance policies, including GDPR, health & safety and all relevant insurances
- Coordination of external providers, HR, Legal, IT and Finance support
- Researching new systems and processes to improve operational efficiencies that keep us ahead of the curve
- Manage travel arrangements for staff on projects
- Work with our external IT support to manage our IT infrastructure and software
- Upward management of three Directors
- Keeping our London office tidy, safe and stocked
- Answering all incoming calls, transferring calls and taking messages and greeting all visitors at reception
- Preparing and managing all meeting requests (sending invitations and meeting confirmations, setting up of room and presentation materials, managing refreshments, etc.)
HR & RECRUITMENT
- Lead the administration of annual reviews of all employee handbooks, contracts and related HR documentation
- Helping shape the on-boarding and retention programme strategy that helps go beyond pure process
- Lead on recruitment, headhunting, advertising of roles, shortlisting of candidates, booking interviews
- Keep the JPC values (Brave, Original, Collaborative and Tenacious), initiatives and culture alive whilst listening to and adapting to team feedback

Salary: £30,000.00-£35,000.00 per year
