Operations Director

Location: Romford multiple venue locations (covering London and the South, other areas may be required)

Salary: £60,000.00 per year

Days of work: Depending on the business needs

Hours: Depending on the business needs

Holiday: 31 days pro rata including bank holidays per annum

We are looking for an Operations Director to join our team at Seasoned Events – a venue management and catering company working at such iconic venues as Tower Bridge, Blenheim Palace & Natural History Museum.

The Role

To assist and support the Managing Director in running the operation of Seasoned Events, ensuring compliance with all Statutory Law with particular regard to Health and Safety; optimising profitability and growing the current business (including new contracts); ensuring and developing good client relationships; improving communications across the company.

Provide timely reports and information as required by other members of the Senior Management Team, the Managing Director and Board of Directors for the Company.

Duties and Tasks

Management

  • Responsible for managing the recruitment, inducting, interviewing, training and appraisal of staff members in accordance with Seasoned Events policies and procedures.
  • Identifying and addressing training needs for all staff in conjunction with H.O.D’s.
  • Agreeing and setting aims and objectives with H.O.D’s. in line with the business plan.
  • Responsible for ensuring that the Standard Operating Manual is adhered to.
  • Ensure the accurate reporting of the Forthcoming Events Diary including entry of actual sales data and report client debt position to Customer Services including the payment of deposits in all units.
  • Ensure that the personal development of individuals is monitored to maximise their benefit to the business.
  • To hold monthly meetings with H.O.D’s. and in turn ensure the cascading of information to promote a culture of en-powerment and inclusion in the decision making progress to all employees.
  • To attend training and personal development courses as requested by the company ensuring full and active participation.
  • To ensure that sales targets are met without detriment to client spend per head. To increase client spend per head working with H.O.D’s.
  • Plan and deliver operational functions as required.

Sales, Customers and Client

  • Ensuring a high standard of service and customer service is delivered at all times.
  • Analyse Client and Venue Feedback Forms and other Client Feedback, ensure in conjunction with the Managing

Director that we address service issues and develop standards and products in line with customer needs. Respond to and resolve customer complaints within set time frames. Attend client meetings, food tasting and site visits when required.

  • Checking menu planning and costing, ensuring that margins are met.
  • Recommend modifications to systems and practices to improve customer service.
  • Liaison with the client and their staff to ensure a good relationship is maintained and developed.
  • Ensure all deposit and final invoices are raised and paid within our Terms of Business.
  • Ensure all final invoices are raised in accordance with Company Guidelines.
  • Customer Services /Support Sales as required during tender processes and prepare such tender information as may be required.

Financial Reporting and Planning

  • In conjunction with Seasoned Events Management Accountant, ensure that all weekly, monthly and year end procedures are carried out to provide timely and accurate information.
  • Financial forecasting, calculating G.P’s, setting prices, monitoring and agreeing targets with Managing Director and conveying those to the team. Roll out KPI’s to all Seasoned Events venues.
  • Ensure all financial data is filled out and sent to Accounts on the correct day, checking the accuracy of returns.
  • Ensure Group procedures on ordering of goods and services are followed.
  • To optimise profitability.
  • To ensure unit turnover and profit targets are met.
  • To assist and advise the Managing Director in the setting of annual budgets and present these to clients in a professional manner once agreed.
  • To report on budget variances to the Managing Director.
  • To pursue outstanding debts from clients and ensure that accounts are kept within agreed credit terms.
  • To provide timely reporting for all operations, such reports to present actuals/forecast/variances recovery plans, action plans, pricing or any other financial report required.
  • Set budgets for new venues/contracts(TUPE).

Communication

  • To communicate effectively with clients, face to face, verbally and in writing.
  • Responsible for holding and recording client and management meetings.
  • Responsible for communicating weekly activities via weekly reports.
  • Responsible for effectively communicating with staff on all levels.

Transfer of Undertakings

  • To be instrumental in maximising and developing new opportunities/contracts.
  • To assist the Managing Director and HR Department in obtaining operational and employment information.
  • To assist in the presentation to prospective clients.
  • To assist the Managing Director and HR Department in the smooth transfer of contracts.
  • To produce and implement an induction and operational action plan for all staff.
  • To continually develop and enhance the operation and staff.

Health and Safety

  • Comply and ensure compliance with statutory and legal requirements for Health & Safety, Fire and Food

Finance Reporting and Planning

  • Responsible for security and accuracy of all cash floats and accompanying stock sheets.
  • Ensure staffing levels are controlled to ensure maximum efficiency and effectiveness at all times.
  • Control, ordering and security of all beverage stocks.
  • Ensure all invoices are processed to Accounts on the correct day.
  • Ensure staff rotas and wage returns are completed accurately and submitted on the correct day.
  • Ensure company procedures on ordering of goods are followed.
  • To monitor invoice payments and pursue late payments.
  • Financial forecasting, calculating G.Ps, setting prices, monitoring and agreeing targets with Commercial Director.
  • Negotiate prices that are mutually beneficial to customers and The Company.

Purchasing

  • Ensure using Crown Connector as and when required including monitoring the accuracy of purchase orders.
  • Raise purchase orders as appropriate for authorisation by Managing Director.
  • Ensure all purchase orders are matched with invoices from suppliers and booked off in line with reporting deadlines and any discrepancies and followed up.

General and Other Duties

  • Undertake any reasonable duties as dictated by either the Commercial Director or Managing Director that are within skills and capabilities.
  • You may be asked to assist at other venues from time to time.
