OPERATIONS COORDINATOR

Hours: Part-time position (24/32 hours per week)

Location: Hybrid (at least two days per week in London)

Salary & benefits: £32,500 to £37,500 per annum pro rata based on a 40 hour week. 28 days paid holiday per year pro rata together with the usual public holidays in England and Wales. Healthcare and life assurance.

Start date: March/April 2023

BACKGROUND

FIND is a young and innovative non-profit at a key point in its growth. Established in 2020, we investigate the financial affairs of perpetrators of human rights abuses, war crimes and environmental harm. We work exclusively for charities, NGOs and intergovernmental bodies in support of their pursuit of justice for those affected by such crimes.

We are a small team that achieves a lot with limited resources. We wear many different hats and what we don't know, we learn. We are looking for someone to join the team who is efficient, highly competent, reliable, creative, independent and pro-active to help build a well-functioning organisation with the right culture that delivers first class work to its partners. This role offers a genuine opportunity for growth for the right candidate who will play an instrumental role to support FIND’s organisational development.

MAIN RESPONSIBILITES

  • Project management assistance for special internal initiatives e.g., in-house professional development, pro-bono and internship programmes
  • Partner engagement: support interactions with partners including arranging meetings, preparing agendas, reviewing contracts, invoicing, completing grant/project evaluation reports
  • Fundraising: support the team with fundraising activities including research on, and outreach to, potential donors, and preparation of fundraising materials
  • Business development: support the team with its activities to secure new casework including arranging meetings, conducting research on potential new partners, supporting the organisation of events/webinars
  • Finance: support the preparation of annual budgets and reforecasts, review monthly and annual subscriptions e.g. phone bills and office365
  • CRM: support the ongoing development of our CRM system to ensure knowledge is institutionalised with respect to casework, clients, donors and consultants

  • HR & recruitment: manage our health insurance and life assurance policies for staff. Support annual staff appraisal process. Support recruitment including liaising with candidates, arranging interviews, providing feedback
  • Governance: Support the review of existing internal policies (e.g., conflicts, sanctions, privacy) and the drafting of new policies e.g., staff wellbeing. Arrange biannual board meetings, draft minutes and actions, and follow up with board members
  • IT and cyber security: coordinate with external providers to ensure staff receive the required digital security and IT support
  • Communications: manage FIND’s general inbox, contribute to social media feeds, update the website as necessary

SKILLS, EXPERIENCE AND APTITUDES

The ideal person:

  • University graduate with a minimum of 2 years of experience in operations or a related field such as project management, office management or administrative support. Fundraising or business development experience is a bonus
  • Excellent organisation and time management skills, and the ability to juggle multiple tasks.

Diligence and efficiency in day to day work is a must. Systems oriented with an interest in setting up and implementing new processes

  • Digitally literate with experience using project management tools
  • Reliable, flexible and pro-active with a desire to learn quickly as the role develops
  • Committed to FIND’s objectives and non-profit status
