The Equal Group is a forward-thinking Equality, Diversity and Inclusion (EDI) consultancy that is currently looking for an Operations assistant to join our growing team. We are a close team, who like to work collaboratively. As we are remote, we like to make the most of our time together at our scheduled quarterly Team days in Birmingham through interactive training and team-building activities such as go-karting and laser tag!
We are looking for an Operations assistant to join our team and ensure that the organisation operates as efficiently and effectively as possible. Working as our Operations assistant your responsibilities will include process and policy creation, invoice management and providing administrative support as needed.
To succeed as an Operations assistant you should be able to oversee and ensure smooth and efficient daily operations. Ultimately, a top-notch Operations assistant should be highly organised and thrive under pressure.
Duties and Responsibilities:
Operations
- Managing and updating company data dashboard databases.
- Ensuring that all relevant operations, internal processes and procedures are impactful and adhered to
- Collecting and analyzing metrics to identify gaps and/or issues with performance
- Working and communicating with members of different departments to ensure exceptional collaboration and constant communication
- Coordinate the progression of the strategic priorities and provide progress updates
- Providing administrative support to other departments or projects as needed
- Managing client requests and queries
- Tracking, reviewing, approving, and issuing invoices
- Drafting company newsletters on a weekly basis
Office Management
- Support the finance team with the monthly administration of payroll;
- Support the Management team with recruitment and workforce planning activities.
- Develop and oversee processes related to onboarding and inductions, including the orientation of new starters to TEG’s values, ways of working, and culture.
- Support the administration of team meetings; travel arrangements and procedures (including insurance, safety and security) for the organisation; front-of-house office duties.
- Oversee operational management requirements, including asset management, IT, office equipment and supplies.
- Organise gifts for the team i.e. birthdays, staff recognition, leaving
Skills and Qualifications:
- Degree in business administration, facility management, or a related field preferred
- 2+ years of experience as an Operations assistant or in a similar position
- Strong organisational and administrative skills
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office and data management software
- Detail-oriented with strong analytical and problem-solving skills
- Ability to multitask
Job Types: Full-time, Permanent
Pay: £25,000.00-£30,000.00 per year
