The Role
The Operations Assistant will help ensure the agency runs smoothly by providing a responsive, organised administrative service. Working alongside the Operations Director they will support the delivery of our Operational Strategy, ensuring our teams have everything they need to work and creating a working environment that we are all proud of. You will be responsible for overseeing the day-to-day running of the office & facilities, supporting on the management of our key systems and functions, and providing an “always on” proactive approach to help make Revere as efficient and profitable as we can be.
The Operations Assistant will have great people skills and be a confident team player. The role will be varied, and they’ll support multiple team members and support any other ad hoc business requirements.
Key Responsibilities:
Office and facilities
- The daily running of the office, ensuring it is maintained in a tidy state and maintaining compliance such as H&S and Fire Safety
- Be available on site to support staff when needed with queries and help solve or signpost (minimum 3 days per week in the office)
- Ordering of office stock as required (stationary, refreshments, etc…)
- Filter incoming post, general information, queries, and phone calls
- Coordinate any required office improvements or developments and liaise with the building landlord and Operations Director as needed
- Arrange and maintain supplier, utility and other contracts to ensures we have the best terms and rates in place
Operations & Business Administration
- Work with the Operations Director on the delivery and implementation of the company Operation Strategy initiatives
- Work closely with other department administrators and coordinators to ensure a collaborative, consistent and efficient approach to companywide initiatives
- Ensure company policies, processes, and manuals are kept up to date
- Monitor our company intranet and liaise with relevant teams to ensure the information held, is up to date and accurate
- Maintain the accuracy of information in our other proprietary company systems, including our CRM, server, and project management tools.
- Supporting the organisation of social events and initiatives, including liaising with suppliers and venues where appropriate. For example, for the Summer & Christmas parties
- Arranging couriers for shipping of goods inside and outside the UK
- Organising executive and client travel, supporting office meetings and arranging catering when required, including Rise & Shine
- Occasional PA duties to Managing Director, such as diary management, transcribing, ad-hoc support, as needed
Reporting
- Support accuracy and efficiency of time tracking across the business, including training of new employees for this area
- Work with our Business Support Executive on the creation, design and distribution of regular business, commercial and operational reports
- Assist with the development of new reports and operational initiatives
The team
Reporting directly to our Operations Director, the Operations Assistant will be hands on in supporting the Operations Strategy as well as management of the daily running of the office. You will work closely with other department administrators and coordinators to ensure the business works collaboratively and efficiently companywide. You will be first point of call for suppliers, members of the public or clients wishing to make contact with us.
Key Skills
- Strong organisational skills
- Excellent working knowledge of Microsoft Excel, PowerPoint & Word are essential
- Able to work unsupervised on own initiatives
- Exceptional attention to detail and accuracy
- Effective multitasker, able to prioritise conflicting responsibilities
- Discreet and professional – you will be privy to business sensitive information
- Team player with a high level of dedication
- A can-do attitude, staying calm under pressure in a fast paced, changing environment
- Excellent written and spoken communication skills
- Experience of using a company Intranet would be advantageous but not essential
