Office Team Leader

Location: Working at the company’s office on Huntsland Farm, in Crawley Down, there will also be some home working by arrangement with your line manager. You will at times be expected to travel to meet clients throughout SE England.

Reporting to your line manager, the Managing Director of Love Tipis Ltd, and the board of the company as required.

The role is varied, the business has key operational periods where service delivery is key, typically over the summer months, whilst the winter gives the opportunity to focus on business development.

1) Package a) Salary depending on experience between £29,847 to £33,494. b) Pro rata based on 24 hours per week, 104 hours per month, equating to a scale of £20,467-£22,967 paid monthly. Overtime is paid at the equivalent hourly rate. c) Your holiday entitlement, calculated on a pro rata basis is 22.4 days per year. d) You are expected, regulations permitting, to work at least 4 days per week from the office, additional hours can be worked from home by prior arrangement with you line manager.

2) Support to Managing Director
a) Manage Diary and communicate diary commitments or changes daily as required. b) Ensure prior confirmation of appointments and site visits with clients, introduce, and oversee implementation of site visit checklist. c) Ensure site visits are organised to minimise travel and maximise efficiency.

3) Office Lead
a) Lead and develop the office team, identifying training and development opportunities, helping to meet the new skills relevant to future business opportunities. Support all team members to engage in solving issues and sharing the skills they develop. b) Respond to operational queries outside of office hours where required. c) Manage the day to day running of the office, evaluating the team members strengths, and helping to develop areas where they need more development. d) Identify areas where service provision is lacking or needs developing as the business grows.

Identify any risks associated with that development and help the business mitigate these risks. e) Take a lead in recruitment, identifying the skills that are required, developing job specifications and job contracts. Leading the recruitment process and taking part in the interviewing of candidates. f) Ensure all HR including employment contracts, office schedules, sickness & holiday monitoring, is up to date, agreeing and signing off all holiday requests from permanent staff.
Managing and developing the company Grievance Policy. Identifying opportunities to subcontract where necessary. g) Assigning task orientated work to appropriate staff, delegating as necessary, supporting, and monitoring the work on an ongoing basis and reporting progress to your line manager. h) Monitor delivery of customer service. i) Liaise with the Managing Director on all performance issues in relation to permanent staff, including any disciplinary action, in conjunction with your line manager. j) Manage & develop our relations with our suppliers, with specific attention to local venues. k) Manage on call rota for event weekends and act as the designated-on call contact when required. l) Other duties as required by arrangement with your line manager.

4) Sales a) Develop the sales side of the business, ensuring customer enquiries, especially initial enquiries, are responded to promptly and efficiently, create a specific service level agreement and oversee its implementation. b) Manage the whole team’s approach to customer enquiries and establish techniques to offer customers additional services after they initially book our service so that their expectations are fully met as well as additional sales opportunities are maximised. c) Meet clients on site visits, building relationships with them and communicating their ideas and plans to the operational team to ensure good delivery from both sides of the business. d) Ensure any that satisfied customers have the opportunity to share their experience with the business through online reviews & testimonials, sharing and allowing the company to utilise images from their events. e) Where a customer expresses that they have not received the service they expected from the company, to liaise with the customer to clearly identify the issue and with your line manger to ensure we make the changes required to improve our service.

5) Business development a) Support the management in developing new opportunities for the business, its staff team, and contributing towards the businesses planning for future development. b) Liaise with Love Tipis bookkeeper and accountants to ensure all reporting deadlines are identified & met, that the board has access to up to date financial reporting. c) Review the Love Tipis web and social media presence, organise the team and budget in keeping this up to date and relevant, developing as the business grows, identifying suitable subcontractors as required.

6) Office team support & growth.
a) Organise monthly team meetings including the operational management, with specific office meetings as required. Meeting your line manager at least every month. b) Review and develop job descriptions for each team member, work with them to agree suitable targets, roles & responsibilities, resource and training needs, ensuring these are met. c) Undertake timely performance reviews of the team, to give and receive feedback and ensure all team members feel recognised, supported, and engaged with the business. Meet with your line manager for performance reviews on a timely basis and at least once per year. d) Encourage the team to share new ideas, tackle issues together, recognising and promoting their achievements. m) Oversee and recommend new recruitment opportunities to your line manager. Take a lead in recruitment, identifying the skills that are required, developing job specifications and job contracts. Leading the recruitment process and taking the lead in the screening & interviewing of potential candidates. e) Ensure the business always has an up-to-date Health and Safety policy.
