Hours - 09.00- 18.00 (mainly office-based role) | 1 day home working
Based: Birmingham - near New Street Station.
Our client, a fast-paced, dynamic and leading workplace design consultancy are looking for a multi-skilled administrator who can deliver secretarial & office support to a team of designers, consultants and project managers. This is an exciting time for this growing regional company, and the ideal candidate will thrive in a busy ever-changing environment, enjoy spinning plates, and have a hands-on and problem solving nature. This will support a team /office of 7.
We are looking for candidates with previous administrative or project support experience, ideally in a related sector to D& B. This role requires a clear-headed, flexible approach, good organisational abilities together with strong interpersonal skills, a friendly approach and a sense of humour.
Please note - this role provides operational and project support in a newly opened studio and will involve travelling to Manchester and London on an ad-hoc basis ( expenses paid).
Administrative support to the wider projects team:
- Diary management/scheduling meetings
- Attending project meetings and taking actions
- Project support / administration/ updating project plans
- Be the point of contact for clients via telephone and email
- Assist designers with updating drawing issues sheets and finishes and lighting schedules as required
- Assisting with PQQs
- Working with the Project Manager to compile relevant documentation such as project directories, project reports, and meeting minutes through to handover files.
- Assisting the Project Manager with the timely completion and submission of Health & Safety Files incorporating Operation & Maintenance Manuals by liaising with our Project Manager, external com
- Be the point of contact for site managers on allocated projects, assisting them with any admin requirements.
- Assisting with any handover requirements including catering orders, client moving in gifts or any other requests from the project team.
General office admin
- General management of the office; including keeping things tidy, keeping the showroom tidy, ordering stationery etc
- Maintenance of office equipment - coffee machines, printers,
- Liaising with 3rd party suppliers and building management
- Co-coordinating desk moves
- First-line IT & AV (Audio Visual) Support for team members, handing any escalations to IT until concluded.
- Assisting the health and safety team by completing weekly or monthly checklists in the offices.
- Responsible for organising the upkeep of office facilities.
- First point of contact for the building management and landlord.
Salary will be dependent upon experience.
