Role: Office Manager/Executive Assistant to the CEO
Salary: £25,000 - £28,000
Location: Manchester - hybrid options available
Case Entertainment Group and its subsidiaries (Case Live, Case Crew) is a relatively new organisation currently going through a huge expansion. Through the growth of our projects internally and externally, we are growing our team and seeking an Office Manager/Executive Assistant to the CEO to help Case Live continue on its mission to create unforgettable live experiences locally and globally.
The role of the Office Manager/Executive Assistant to the CEO will require tremendous organisational skills, combined with the ability to work autonomously and in collaboration with the wider team.
Key roles and responsibilities include:
Executive Support
- Organise and coordinate the CEO’s daily calendar – scheduling appointments, coordinating logistics of site visits etc.
- Manage and arrange travel for CEO.
- Track CEO’s expenses and prepare expense reports for reimbursement and billing.
- Write individualised correspondence and other document for and on behalf of the CEO.
- Support the CEO as needed in relation to all projects, as well as internal or external meetings conducting research and other similar tasks.
- Receive and triage incoming written communication to appropriate staff and facilitate response or action to be carried through by CEO as needed.
- Manage organisational communication, scheduling and logistics for key internal events such as board meetings, staff meetings and managers’ meetings.
- Assist in answering the organisations main line and direct calls as needed to staff.
- On behalf of the CEO, provide support as required to other directors, shareholders or investors.
- Other administrative duties as needed.
Office Management
- Serve as the key point of contact for main office suppliers, such as maintenance, mailing, supplies, repairs.
- Monitor office machines and systems, and problem-solve issues as needed.
- Monitor and maintain inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked, and to fulfil special requests from staff.
- Design, communicate and oversee implementation of office operations, policies and procedures.
- Continually look for ways to evolve and improve operational efficiency of systems and processes impacting staff and office operations.
- Maintain and update office phone list, email distribution lists, and other similar systems.
- Maintain responsibility for general office upkeep and “look and feel”. This includes keeping kitchen and supply areas stocked, clean and functional.

Experience
Essential
- 3+ years of office management/working in a similar role
- Track record of excellent organisational skills
- High level of competency using Microsoft Office Suite.
- Proven experience of liasiing internal staff.
- Delivering high quality work under pressure and to tight deadlines.
- Ability to prioritise.
- Ability to problem solve using a methodical approach.
- Attention to detail.
Skills
Essential
- Highly organised, with strong attention to detail.
- Good written and verbal communications.
- Good time management, skills with ability to prioritise.
- Works on own initiative, resourceful and able to troubleshoot.
- Ability to deal with a cross-section of different people from wide ranging backgrounds in diverse circumstances including under pressure in challenging, potentially high charged situations.
