For our division Sales Europe at our location in London we are looking for an
Office Manager & Executive Assistant (f/m/d) - part-time (20 - 24h)
YOUR TASKS:
- As an experienced and responsible Office Manager and Executive Assistant, you provide secretarial and administrative support in a well-organized and timely manner. Primarily, you assist both the Managing Director and Head of Finance on a one-to-one basis.
- As the first point of contact between the executives and internal as well as external clients and contacts, you screen and direct phone calls, distribute correspondence, handle requests and queries appropriately, and source office supplies.
- Furthermore, you produce reports, presentations, and briefings.
- Outstanding office management capabilities are required to develop and maintain office and electronic filing systems, manage diaries, and coordinate meetings and appointments.
- Also, you will book and arrange travel, transport, and accommodation, organize various events, and manage HQ personnel visits for the whole team.
- Beyond that, you support corporate governance processes such as board meetings and company secretarial tasks while maintaining procedures and administrative systems.
- Last but not least, you are responsible for Health and Safety, fire and first aid tasks as well as compliance in the office and our retail stores in the UK.
YOUR PROFILE:
- Minimum of 3 years of professional experience as a Personal Assistant or Office manager
- Strong organizational and communication skills (written and spoken)
- Discreet and trustworthy team player
- Pro-active, agile and fast learner with a desire to continuously grow
- Strong MS Office skills, SAP knowledge is a plus
- Excellent English language skills, knowledge of German would be advantageous
