The Office Manager/Executive Assistant role
This is an exciting opportunity for an Office Manager/Executive Assistant to join our team based in our Wimbledon office. In this role you will be responsible for the management of the studio/office and essential logistics for the well functioning of the business. Also, you’ll be reporting directly to our Senior HR Manager and our two Co-CEOs.
Responsibilities for the Office Manager/Executive Assistant:
- Diary management for C-suite
- Supporting directors in developing board reports
- Prepare meeting agendas for C-suite and board meetings and attend to take minutes and capture actions
- Booking flights, accommodation, trade shows
- Managing RMAs, carnets and shipping
- Organising on-site client meetings
- Studio Maintenance:
- Ensure the office/studio is client facing and presentable
- Grocery orders, ensuring all units are stocked with food and drinks, particularly for shoots
- Office purchases, including groceries, stationery, furniture etc
- Planning maintenance work and managing cleaners, alarm servicing, pest control, any other contractors
- Organise, distribute and send out post for the offices
- Ensuring adherence to Health and Safety policy
- Planning training of and ensuring the presence of first aiders, fire marshals, etc
Requirements for the Office Manager/Executive Assistant:
- Experienced personal assistant
- Experience working with senior executives
- Excellent organisational and communication skills, both written and verbal
- Confident liaising with internal and external stakeholders/visitors in a warm and professional manner
- Mature and responsible attitude with a high level of discretion
- Proactive with the ability to anticipate, communicate and resolve issues with minimal guidance
- Highly self-motivated and collaborative
- Constantly striving to learn and improve your skills
- A high level of experience with Word and other Microsoft tools
