Job summary
The Infection Sciences department at North Bristol NHS Trust is formed from a collaboration between the UK Health Security Agency and North Bristol NHS Trust (Severn Pathology). This is a busy and forward-looking laboratory that receives in excess of 1.3 million specimens a year from a large number of clinical specialties located within Bristol and Bath hospital trusts, and beyond, which contribute to an interesting and varied workload. The laboratory is located within North Bristol NHS Trust and is a new, modern and fully automated laboratory incorporating state of the art equipment. It lies within easy reach of the city of Bath and surrounding villages. We have close links with our host Trusts as well as both Universities in Bristol and the proximity of the motorway network makes an ideal base for travel to London, the Midlands, Wales and the coastal resorts of the Southwest.
The UKHSA/NBT collaboration employs approximately 200 staff performing a range of diagnostic, public health and research activities, including high containment level work.
As the Infection Sciences Office Manager, you will be responsible for the delivery of all the office functions for all sites associated with the Infection Sciences Service in Bristol. This includes the data entry of patient records and results, all secretarial functions, finance administration, telephone communications, sending out of reports etc. and the taking of minutes and distribution to SW Management team for further cascade. You will also be responsible for the personnel and administrative tasks of the laboratory, ensuring that an efficient and effective service is provided to the laboratory, its staff, its customers, and UKHSA Headquarters.

This office-based role is located at UKHSA Bristol, Southmead Hospital, BS10 5NB.
*Please be aware that this role can only be worked from within the UK and not overseas. Relocation expenses are not available.*

Job description
The job holder will be required to carry out the following responsibilities, activities and duties:
- To provide managerial support and leadership to the Infection Sciences Office team. This will include but is not limited to team meetings, appraisals training, annual leave and sickness management.
- To advise the Infection Sciences Management team in sourcing all Office related consumables and equipment
- To take a lead role in HR aspects of the laboratory, including maintaining the establishment lists, handling of leave and sickness forms, dealing with all leavers and starters, staff inductions, training etc
- To handle the vacancy processes within the department through liaison with the employment services at NBT and UKHSA. Also, to arrange interviews and process the necessary starter paperwork and pension details.
- To be responsible for preparation and implementation of Office SOP’s
- To provide secretarial duties as appropriate, especially for the Infection Sciences Service Manager and other Senior Staff.
- To operate the Financial Accounting Systems for invoice generation.
- To generate internal recharges for work carried out for other laboratories.
- To liaise with clients regarding income generation work.
- To arrange & attend various committees/Management team meetings as required and record minutes where necessary.

Person specification
It is important through your application and Statement of Suitability of up to 1250 words that you give evidence and examples of proven experience of each of the following criteria:
Essential
- GCSE or equivalent qualifications at C or above in English and Mathematics
- Typing qualifications eg Pitmans Grade 2 or RSA Grade 3, Audio typing
- Experience in Administrative duties – inc. Finance, HR, IT & PA
- A minimum of 5 years supervisory experience & office management
- Knowledge of common IT programmes and good keyboard skills.
- Communicate complex and sensitive information with peers and senior staff.
- Excellent numeracy and literacy skills
Desirable
- General educational qualifications to degree level.
- A recognised management qualification
- Extensive working knowledge of PHE and Trust policies and procedures especially those relating to HR and ability to implement these.
- Understanding of the role of a diagnostic laboratory

STAGE 1 - APPLICATION & SIFT:
