About the role
We have an exciting Office Manager opportunity available at our Hatfield location: Trident Place, Hatfield Business Park, Mosquito Way, Hatfield, AL10 9UL.
You will be part of our Technology Centre Leadership team, whose primary focus is culture, engagement and employee enablement for our UK technology Teams. You will be working with a large number of people and teams across many different crafts and as such will need to be flexible, and adaptable. Ocado Technology is growing quickly and you will be key to that growth in your centre.
In this role you will support the continuing improvement of the employee experience at Ocado Technology. Our offices form a key part of our ongoing strategy and this role will have a strong focus on the office working environment, creating a welcoming and pleasant environment for our employees and visitors that is both a productive place to work as well as a place where they enjoy spending their time.
You will be
On-site and remote employee relations support to managers and employees
The key point of contact for all office enquiries
Ensuring that our facilities within the office are all functioning to a good standard
Helping to improve the hybrid ways of working at Ocado Technology
Facilitating and assisting the local teams to help them to achieve their goals with a special focus on onboarding new employees
Supporting the creation of comms plans and posting of information to identified audiences
Ensuring that our facilities within the office are all functioning to a good standard
A local customer for internal service providers such as people and technical support teams
Managing contracts and supporting relationships with external and internal service providers
Purchasing groceries, stationary and other ad-hoc items, while keeping the purchases within budget and ensuring company purchasing processes are adhered to
Supporting and collaborating with other UK and international centres on wider Ocado initiatives such as learning and development teams or other business support areas
Managing temporary accommodation provisions for overseas visitors
Championing continuous improvement of office administration and purchasing processes
Organising and coordinating local events including town halls, stream meetings and social events for the office
Overseeing other general administrative duties including: raising POs, expenses reconciliation and similar tasks
Organising visitors and reception if necessary
Collaborating with other international central functions when required such as learning and development teams or other business support areas
About you
Being Approachable, Flexible, Engaged, Creative and Attentive
Comfortable and confident working with Senior level Management
Excellent organisational skills with the ability to prioritise
A proactive, pragmatic and creative approach to problem-solving and developing new processes
Excellent communication skills, both written and verbal, with the ability to talk to people from all walks of life
You have the ability to solve problems with positive outcomes
Strong team player who is self-motivated and able to multitask under pressure
Experience in planning and running employee events and initiatives
Experience in office management
Excellent time management skills and ability to prioritise work Intermediate level IT skills and familiarity with Cloud-based tools such as Google Apps including Gmail, Drive, Calendar, Docs & Sheets etc.
