Office Manager in a Leading Architect’s Office
Position: Office Manager, Location: Clapham, London www.myaa.eu
Key Responsibilities:
MYAA is an award-winning London and Barcelona-based architectural practice working worldwide. We are looking for a permanent office administration manager to support a small but expanding London. As our office manager, you will be at the heart of our operations, playing a crucial role in driving efficiency and maintaining a well-organized workplace. Your responsibilities will include:
- Administration: Responsible for the daily admin tasks and ad hoc responsibilities, ensuring smooth office operations. Answer phone calls and respond to admin emails and inquiries.
- Financial Control: Update company accounts, issue invoices, and follow up payments. Liaise with company accounts and administer VAT submissions. Provide information for company services providers for payroll and pensions
- ISO Quality Assurance, Information Management, Health & Safety: Maintain records and adhere to ISO filing standards and support ISO audits. Use Smartsheet for office administration
- Team Coordination: Be the backbone of team meetings and schedules, fostering a collaborative work environment.
- Supporting Senior Staff: Provide valuable assistance to directors and senior staff, enabling them to focus on strategic goals including booking travel.
- Supply and Meeting Room Management: Order supplies and ensure meeting rooms are optimally organized.
- Tidiness and Orderliness: Maintain a tidy and inviting office space for enhanced productivity. Coordinate with cleaners and maintenance to address issues promptly.
- HR responsibilities: Maintenance of staff attendance, holiday logs, and staff needs.
- Property Management: Efficiently manage and coordinate properties owned by company directors, ensuring proper maintenance. Oversees payments, and tenancy contracts, deals with tenancy issues, and provides support.
- Business Development Support Attend company business development events including for example New London Architecture or Leeds Real Estate Forum, Arrange meetings with potential clients.
- Language Proficiency: Utilize your fluent English communication skills to interact confidently with clients and colleagues in written and spoken / telephone/video communication
Requirements:
Essential Skills
- Proven experience as an Office Manager or similar administrative role.
- Proficiency in financial tasks, including account updates and invoice management
- Excellent organizational and multitasking abilities to handle diverse responsibilities
- Collaborative mindset with a commitment to nurturing a positive work culture
- Resourcefulness and attention to detail, ensuring smooth operations
- Strong interpersonal and communication skills for effective engagement with stakeholders
- Right to work in UK
Desirable Skills
- Administrative experience in architectural or design companies
- Familiarity with ISO filing standards
- Working knowledge of Smartsheet and/or similar software
- Experience managing properties
- The role is office-based
- Business development skills
