Job description

JPD Corporation are currently looking for a Office Manager to join our team in North London, Finchley.

Role Purpose:

  • To provide a range of secretarial and administration support to the team.
  • To be responsible for the effective management of office facilities and supporting administrative resources for a designated team.
  • Take on bookkeeping and additional administrative tasks as JPD see fit.

What you'll be doing

  • Develop and administer office management processes and systems to ensure the efficient and effective running of the office
  • Provide administrative support to the Directors and team members, where applicable
  • Manage admin tasks to ensure the smooth running of the SharePoint platform
  • Ensure the office is fully compliant with all security protocols and Health and Safety requirements
  • Ensures office supplies are at a sufficient level and replenished as required
  • Check that office equipment is in full working order and take immediate action to ensure any repairs are reported to the relevant internal/external provider
  • Work with the Procurement function to secure best deals as well as complying with company-wide procurement processes and suppliers
  • Maintaining Absence/Sickness/Holiday trackerS
  • General Admin duties Minutes of meetings/typing/photocopying/scanning
  • Any other admin task that may be required
  • All data processing including tracking of company credit cards and card management throughout the company
  • General bookkeeping on accounting software
  • Company event management

The following qualities/experience are essential:

  • Experience in managing a busy office environment and managing a team
  • Experience in prioritizing own/others work and of allocating and checking work
  • Highly organized and able to work on own initiative
  • Strong communicator able to communicate confidently with all level of colleagues within the business
  • Excellent team working skills and able to build relationships at all levels
  • Ability to work well under pressure and to tight timescales
  • Very strong customer focus
  • Excellent typing skills and IT Skills including Microsoft Office (Excel, Word and PowerPoint)
  • Bookkeeping knowledge and basic understanding of accounting protocols
