Job description
- Facilities management – working with the Head of Finance to ensure that all utilities, cleaning services, post, kitchen needs, and other office support functions are delivered on a timely and cost-efficient basis. Liaise with the landlord and property maintenance companies as appropriate.
- Provide support to senior management from time to time, including travel arrangements, organisation and support of Governance meetings, diary management for team meetings and assistance with external seminars and presentations
- Oversee the management of meeting rooms including their configuration, booking, audio-visual support and organisation of refreshments where required.
- Under the guidance of the Money Laundering Reporting Officer, undertake client identity and other onboarding checks using Smartsearch and other resources.
- Provide support to the Head of Client Relations in the collation and distribution of quarterly client reports
- Perform receptionist duties, greet visitors, and answer phone calls applying appropriate security protocols.
- Undertake general office duties such as the filing and scanning of letters, oversight of generic email addresses, stocking of photocopiers, ordering of consumables for general office and kitchen use
- Manage all aspects of Petty Cash
- Maintain central records of holiday and sick leave
- Maintain central records for keys and entry fobs and issuing and cancelling as appropriate
- To lead within the organisation on health and safety matters including preparation of risk assessments.
- To act as a fire warden in the workplace
- To act as a first aider in the workplace
- Any other reasonable duties as required
Skills & Qualifications
- 2-5 years of work experience in an administrative/office management role
- Educated to “A” level or above. Minimum GSCE grade B in Maths and English
- Must have exceptional attention to detail
- Strong organisation and time management skills and the ability to prioritise
- Must be a self-starter and be able to manage projects
- Strong problem solving and analytical abilities
- Must be proficient in Microsoft Office
- Experience of using databases
- Team player with a can-do attitude
- Good telephone skills
