Role Overview

Due to expansion, we have a brand new role for a Data & Admin Assistant based in our busy operations team. We need an efficient administrator with a keen eye for detail as you'll be coordinating lots of data and documents to assist the team with the upcoming tours maintaining the high-quality service and experiences our guests have come to expect.

As Data & Admin Assistant, you would be a central person for collating and distributing passenger information to maintain the efficient running of tours along with the rest of the home-working team.

Below is an outline of what we envisage the role will require. We are a small company and so the role will be varied and offers the flexibility for you to carve out a role in the business to meet the business needs and develop your future career. You'll have previous experience in a similar role where data is key, ensuring an accurate and up to date and accurate information is required for all operational activities.

About The Job

  • Providing admin support to the Operations team.
  • Collating info to produce pre-tour rooming lists for suppliers across the globe.
  • Collecting passenger flight information and verifying details for arrival and departure transfers. Collating insurance, medical and dietary requirements.
  • Reserving additional tour accommodation or services for guests.
  • Scheduling pre-tour zoom calls with tour directors.
  • Sending pre-tour emails to guests that have booked.
  • Organising the Tour Director’s travel and sending them pre-tour information.
  • Daily updating the tour manifests.
  • Producing weekly sales reports.
  • Enter new itineraries/tours into the website and booking engine. Training will be given.
  • Purchasing flights for guests, both FIT and Group. Producing and sending ATOL certificates.
  • Adding new enquiries to CRM daily, requesting additional information from certain enquiries to assist the Sales Director.
  • Requesting points from client for passengers who have booked and updating bookings once points have been secured.
  • Assisting with the answering of inbound calls. Occasionally this may mean altering your workday to start at 12-8pm GMT to cover holidays.
  • Actively contribute to continuous improvement; looking for ways to improve administration processes.
  • Additional operational duties as and when required.

About You

  • Previous experience in a data admin role.
  • Preferably you will have some knowledge of travel.
  • You'll be confident in how you communicate and be able to establish positive working relationships with colleagues and external stakeholders.
  • It's important that you are an organised person with a strong attention to detail.
  • You'll have a methodical and logical approach to everything you do making you a good problem solver!
  • You'll be able to spot errors and inconsistencies in data.
  • Whilst you will keenly follow processes, you will also share your ideas on how processes can be improved.
  • Either working independently or within the team, you'll be motivated by a job well done and enjoy being a team player.
  • Flexibility and self-motivation.
  • The role requires you to be proficient in Excel, Word and have excellent data skills.
