Caledonian Optical manufacturing lab is a customer focused organisation, delivering excellent quality lens products to optician practices across the UK and Ireland. We are currently recruiting for an Office Manager to provide an effective and efficient administrative function to support the work of the lab and manage the team of Office Assistants and Purchasing Officers.
Core Responsibilities
- Deal with incoming phone calls and e-mails, both internal and external, answering queries from own knowledge or passing to the appropriate person as necessary.
- Motivate, lead and manage the Purchasing Officers and office assistants to ensure an awareness of and compliance with standards in relation to both performance and behaviours.
- Undertake performance reviews of the Purchasing Officers and office assistants, setting individual objectives, agreeing development plans and assessing overall performance.
- Manage all formal and informal disciplinary and grievance issues arising with the Purchasing Officers and optical assistants, ensuring proper procedure is followed at all times and keeping the General /QA Manager advised as necessary.
- Hold regular informal meetings with staff. Ensure a minute is taken at all formal meetings with staff and ensure any follow-up action is taken or delegated as necessary.
- Manage staff absences, both planned and unplanned and ensure adequate personnel are available at all times to maintain customer service and production levels.
- Undertake internal staff training on a regular basis to ensure that each member of the team has the knowledge and skills necessary to effectively perform their role and to provide cover for other staff as required.
- Assist the General / QA Manager with ad hoc tasks as required.
- Maintain a high standard of work according to the QA system and British Standards
- Follow all Company Health and Safety procedures.
- Maintain good working relationships with all other staff, both within the department and in the wider organisation.
- Maintain and develop good working relationships with suppliers and other external stakeholders, acting as an ambassador for the Company at all times.
- Any other duties as required to assist in the smooth running of the laboratory.
- Follow all Lab Quality procedural instructions and assist in ongoing improvement by raising awareness of potential procedure improvements.
- Ensure the office is kept neat and tidy and that personal workspaces are organized and clutter-free.
