Job description
As the Office Coordinator, you will work with the Global Facilities Manager, to provide support and assistance managing the day to day running of the office space, ensuring that office standards are always maintained.
You'll be based in our Chiswick office, but will assist with managing maintenance, procurement, health and safety, and compliance requirements across our group offices. It is vital that you can act on your own initiative, resolve problems as they arise, and have a 'can-do' attitude, with the ability to innovate and problem solve.
The role will see you act as a brand ambassador, as you will be the first person to welcome visitors to the office, you must be able to deliver an exceptional level of service to our team, clients, and suppliers.
The working hours for this role are 13:00-19:00 pm, Monday-Friday.
Front of House and Reception:
- Managing and maintaining the office reception area
- Greeting visiting clients and guests promptly in a confident, friendly, and professional manner
- Internal meeting rooms management
- Preparing refreshments and purchasing provisions if required
- Assisting with preparations and setting up for company events
Office Co-ordination:
- Responsibility for day-to-day office coordination, general housekeeping, maintenance management and regular office inspections
- Conduct external property checks to identify any concerns and ensure standards are upheld
- Responsibility for maintaining office standards to the highest levels including staff areas, kitchen, cloakrooms and work stations
- First point of contact for all London related office issues
- Monitoring and maintaining stock
- Purchasing of office consumables/items
- Liaising with suppliers and maintaining accurate records
- Distributing post; taking and unpacking deliveries, notifying recipients, organising outgoing mail
- Liaising with office maintenance contractors on site
- Ensuring Health and Safety policies and procedures are adhered to and maintained in line with British Safety Standards
- Support the London office facilities team members (team of two)
- Manage and maintain office security policies and procedures
- Complete property security close down procedures and locking of the building
Company Support:
- Maintaining, negotiating and renewing office supplier contracts and agreements in both London and Lancaster, including but not limited to Insurances, Services, Health and Safety
- Supporting with company organised events
- Supporting with managing the rented company placement houses
Experience:
- Educated to GCSE-level
- Previous experience in a similar role
Skills:
- An organised and 'can-do' approach

- Excellent written and verbal communication skills, with the ability to communicate with all levels of the business
