What is the job about?
We are looking for an Office Coordinator to join our team at our Gateshead, Baltic office. The Office Coordinator will report to the Executive Assistant and assist them in supporting the site and senior leadership team in ensuring the successful running of business services including travel arrangements, fleet management and facilities.
What exactly will you do?
· Support the senior leadership team with travel arrangements and diary management as well as other assistant like duties
· Manage company wide travel including rail and air, ensuring budget requirements are met.
· Maintain a clean, welcoming reception area and provide a world class welcome service to visitors.
· Manage building services such as parking and stationary suppliers including tendering for contracts, managing use of the services and monitoring service delivery.
· Support business meetings through room set up and preparation of documents.
· Manage company EV scheme and fleet vehicles including conducting license checks, liaising with suppliers and maintaining records
· Own business support services, review processes and look to reduce costs.
· Liaise with finance to ensure correct payment for services and deductions.
· Overall site support to ensure building services and facilities are in place.
What we’re looking for
· Someone with strong administration experience in a similar role
· Experience of business travel booking is essential.
· The ability to prioritise workload and work to deadlines. Good time management is a must.
· Someone who strives to achieve high standards and looks to improve ways of working
· A confident professional.
· Computer literate, with a good working knowledge of Microsoft Office applications
