Bring your administrative, organisational and project skills to help us ensure the smooth running of our global Consumer and Shopper Engagement (CSE) Department!
This role is a 12-month fixed term contract.
Core Responsibilities
Supporting the CSE Leadership Team including hosting and facilitating regular leadership meetings/workshops, collating agendas, and travel arrangements
Managing and coordinating departmental projects e.g., office refurbishments, process reviews
Event Organisation for large virtual or face to face meetings including coordinating speakers and agendas, finding venues and providing props and supplies
Liaise with facilities and local IT to support the office including supply organisation and the availability of equipment in order for others to perform their role
Support the extended team meetings by providing organisation and documentation
Provide global direction and support to administrative tasks in all CSE locations, optimising global processes and finding efficiencies
Support the high-season upscaling and onboarding process with organisational and administrative assistance as needed

The CSE department is team of around 1000 employees with offices in the UK, Germany, USA, Denmark, Singapore and Shanghai, supporting 5 million customer engagements per year across multiple channels (phone, email, chat, social media, web, owned apps and platforms). Our customers are based around the globe.
This role will support the Head of CSE and her Leadership Team (LT) in their planning and running of the department by preparing and facilitating meetings, coordinating initiatives, planning workshops, conferences and global events and being a project lead on selected departmental projects driven by the LT. Additionally, the holder of this role will carry out some administrative support for the CSE LT, as well as some departmental support with administrative and organisational tasks, provision of stationary and other supplies.
Do you have what it takes?
Ability to prioritise numerous tasks and conflicting demands
Advanced knowledge of MS office tools, SharePoint, tools for virtual communication, virtual working, and facilitation
Confident communication skills, including preparing impactful presentation material
Strong business sense with an ability to understand complex business contexts and prioritise accordingly
Exposure to managing senior partners, vendors and facilities teams
Shown success in planning and organising events
Experience in a similar role within a large international organisation
