Bolney Wine Estate in West Sussex is one of the pioneers of the English wine industry and has been a family business since 1972. We are a producer of premium English still and sparkling wines, sold across all UK channels and exported to overseas markets. We have an active, vibrant on-site experience, offering tours, events, café/restaurant and shop.

Key Purpose
We are looking for an Office Assistant to support all areas of the business to ensure the site runs smoothly for the benefit of customers and all staff. This is a permanent, full-time position.
Summary of key tasks
- Posting adverts to Bolney website and local job pages
- Sending new starter details to HR for contracts to be drafted
- Notify HR of upcoming starters and leavers in a timely way
- Arranging new starter inductions
- Support arranging company meetings and any social events
- Arranging staff training (e.g. food hygiene / health and safety / fire wardens)
- Tour admin
- Providing timesheets to HR for monthly payroll
- Petty cash – supporting Lisa Williams
- Taking Café bookings
- Organise annual maintenance of fire extinguishers
- Manage and distribute daily post
- Take phone orders
- Manage incoming telephone traffic
- Liaise with supplier for security systems in case of alarm issues
- Stationary ordering and general office supplies
- General admin
- Site health and safety representative
- Ensuring office is clean and tidy
- Liaising with external contractors (plumber/electrician/air conditioning/sewage tank/recycling company/skip hire)
- Customer service support, ensuring we provide exemplary customer service at all times, treating our customers as guests
- Work flexibly within the role and in support of colleagues and other areas of the business as required
- Flexible to respond to day-to-day site needs, adapting to cover whatever is needed, as it emerges
- Available to respond to out-of-hours emergencies e.g. alarm call-outs
Requirements
- Administration experience essential
- IT literate and proficient in MS Office
- Customer service experience, either face-to-face or office-based
- Experience problem-solving
- Facilities experience advantageous
- Able to work autonomously with minimal supervision

Salary
Commensurate with experience. Training is offered where necessary to do the job, additional professional development offered after one year of service is completed satisfactorily.
Hours and environment
- 37.5 hours, Monday to Friday
- Onsite working
- Working autonomously, in liaison with all on-site teams and teams based in other offices e.g. HR
- Site can only be accessed by car, due to remote location
