Reports to: Head of People and Operations
Type: Permanent, full-time
Location: Blackfriars, London – 5 days per week office presence
Salary: £35,000 - £43,000 depending on experience

Due to the nature of this role, you will be required to be in the office Monday to Friday.
The role
As our Office Assistant you will be in charge of ensuring that we have a well-organised, positive, fun, and professional working environment for our London office by overseeing desk bookings, ordering stationery and other supplies, managing monthly expenses and meeting rooms. You’ll be the go-to person for any queries from the wider team, assisting with important tasks such as meeting management and handling travel. You will put together documents and itineraries, arrange any printing and support with recruitment efforts.
You will be a key individual within our team with the autonomy to suggest improvements and help to build the culture of QuantSpark, all the while working in an engaging, varied role alongside friendly and supportive colleagues.

Responsibilities
- As the first person that colleagues and guests meet when they come into the office, you’ll act as our welcoming host, ensuring that everyone feels comfortable and has what they need; you’re not above making a cup of tea and arranging refreshments.
- You’ll ensure the smooth day-to-day running of the office, taking ownership of the look and feel of the office, designing ways to continuously improve the space environment and planning for when the team grows.
- You’ll take charge of our meeting rooms and desk booking system, ensuring rooms are well equipped, providing reports on office usage and keeping a keen eye on any trends that emerge.
- You’ll build up great relationship with key suppliers, order stationary, supplies and new tech, you’ll oversee food & snack deliveries, collect mail and parcels, and be the keeper of the QuantSpark library.
- In terms of wider administration, you’ll organise travel including international requirements and accommodation, prepare reports and presentations to the highest standards as well as approve expenses and support with the recruitment of new hires.
Requirements
- Minimum of three years-experience as an administrator, executive assistant or team assistant with the ability to hit the ground running and put your own stamp on the role.
- Experience in working in an entrepreneurial, fast-paced, solution-focused, team-oriented, fun workplace.
- You must be tech savvy, with excellent IT skills; the ability to harness Word, Excel and PowerPoint.
- Preferably, you’ll be familiar with GMail, Slack and other tools but worry not, we’ll bring you up to speed.
