The office assistant will support the Operations Director, ensuring the smooth running of the office while implementing company procedures and day-to-day operations. As office assistant, you will organise and coordinate administrative duties and office procedures. You will create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness and communication.

Key Responsibilities
As an office assistant at Coder Agency, you will not only be the first point of contact for clients and visitors on a daily basis but also for operational requirements for the team across the business. You will need interpersonal skills and the ability to manage multiple tasks and schedule workload appropriately in order to deliver effectively.
A highly visible role that will give you the opportunity to develop as well as improve and continue to drive the effectiveness of the operation.
Responsibilities will include:
- Setting up / closing down the business each day to a consistent standard
- Answering phone calls and transferring them as necessary
- Managing correspondence by answering/redirecting emails and sorting mail
- Managing the calendar and scheduling meetings
- Welcoming visitors, as well as collecting and organising refreshments for meetings
- Organising the office layout and ordering stationery and equipment
- Maintaining the office condition and arranging necessary repairs/maintenance works
- Following up on office operations and procedures
- Liaising with different facility vendors, such as cleaning & car parking suppliers
- Liaising with payroll in regards to employment
- Managing incoming and outgoing invoices
- Plan in-house or off-site activities, like parties, celebrations and office events
- Onboarding new clients
Required skills:
- Confident with creating and formatting documents on Word & Excel (Google Docs & Sheets)
- Hands on experience with office machines (laptops/desktops and printers)
- Knowledge of office administrator responsibilities, systems and procedures
- Excellent time management skills and ability to multitask and prioritise work
- Attention to detail and problem solving skills
- Strong organisational and planning skills in a fast-paced environment
- Excellent written and verbal communication skills
- A creative mind with an ability to suggest improvements
Monday to Friday, 9am - 5pm
Job Types: Full-time, Permanent
Salary: £18,000.00-£25,000.00 per year
