Copenhagen Infrastructure Partners (CIP) is looking for an Office Assistant to its newly established office in London (Mayfair)
We are looking to recruit an approachable, proactive, and service-minded Office Assistant to our London Office. Your main responsibilities will be to assist the Office Manager with all item’s office-related, providing services to the growing onsite team in the office as well as for all the external visitors coming to our busy London Hub. The CIP team in London currently shares offices with its exclusive operational partner, Copenhagen Infrastructure Service Company (CISC), and a hand full others sub-tenants which you will also be expected to work and coordinate with on a day-to-day basis.
Further responsibilities will consist of, but are not limited to:
- Upkeeping and maintenance of the common areas, such as the meeting rooms and kitchen
- Printing, scanning and binding of material and presentations
- Responsible for general kitchen duties; load and unload dishes from dishwasher, restock refrigerator with supplies, etc.
- Coordinating external guest procedure including conference room set up, liaising with building security and greeting guests upon arrival
- Carrying out administrative duties such as filing and copying, etc.
- Maintaining office inventory and order supplies as needed
- Supporting employee travel bookings and other various expense assignments
- Assist in organizing team events, including company dinners and office receptions
- Data entry and record management
- Assisting Office Manager in onboarding/offboarding processes of employees
- Performing other ad-hoc administration duties for management and support employees as required in administrative tasks
The Candidate
CIP is looking for a junior profile either recently graduated from high school or with 1-2 years´ work experience from a similar role in a dynamic and international business environment.
It is expected that the candidate is fluent in English, and has a solid knowledge of MS office and meets the following criteria:
- Excellent time management skills and ability to multi-task and prioritize work
- Resilient, service minded and positive can-do attitude
- Excellent interpersonal and communication skills
- Demonstrated ability to build and maintain professional relationships both internally and externally.
- Thrives with varying office assignments
