Job Description: Office Assistant

Responsibilities:
As an Office Assistant, you will be responsible for a wide range of administrative tasks that are essential to the daily operations of the company. Your attention to detail, organizational skills, and ability to multitask will be vital in supporting various departments and maintaining a productive work environment.
Document Management:
· Efficiently handle all incoming and outgoing mail, packages, and correspondence.
· Organize and maintain physical and digital filing systems for easy retrieval of documents.
· Accurately file and categorize documents to ensure proper organization.
Scanning and Data Entry:
· Scan and digitize documents, contracts, and records for electronic storage.
· Perform accurate data entry tasks, including updating databases and spreadsheets.
Office Asset Management:
· Maintain an inventory of office supplies and ensure their timely replenishment.
· Keep track of office equipment and ensure they are in working condition.
· Coordinate repairs and maintenance for office equipment as needed.
Scheduling and Calendar Management:
· Assist in scheduling meetings, appointments, and conference calls for team members.
· Manage calendars to avoid scheduling conflicts and ensure efficient use of time.
Front Desk Support:
· Welcome visitors and guests, providing them with a positive and professional first impression.
· Handle incoming phone calls, direct calls to the appropriate staff members, and take messages.
General Administrative Support:
· Assist with photocopying, printing, and other administrative tasks as required.
· Collaborate with various departments to provide administrative support as needed.
· Assist with the preparation of reports, presentations, and other documents.
Office Organization:
· Maintain the overall tidiness and organization of common areas, conference rooms, and workspaces.
· Ensure office supplies are well-organized and accessible to staff members.
Assistance with Special Projects:
· Provide support for special projects and events, both within the office and externally.
Qualifications:
· High school diploma or equivalent; additional education or certification in office administration is a plus.
· Proven experience in an administrative or office support role is desirable.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer skills.
· Excellent organizational and time management skills.
· Strong communication skills, both written and verbal.
· Ability to work independently and as part of a team.
· Attention to detail and a high level of accuracy.
· Professional demeanor and customer service orientation.
· Familiarity with office equipment such as printers, scanners, and photocopiers.

Salary: Up to £30,000.00 per year
