On behalf of Arup, we are looking for a Office Assistant based on a 5 Month contract located in Cardiff, Wales.

Based in Cardiff an exciting opportunity has arisen for an Office Assistant to provide robust support to the Cardiff office. This is a pivotal support role and will bear a significant impact on external and internal clients within the office environment.

In this role, you will provide a full range of administrative support, including providing an excellent front of house experience and ensuring the office environment is kept professional at all times. You will work collaboratively with other office and team coordinators, continually promoting best practice within Business Services.

The role is front of house, therefore requires a presence in the office 08:30-17:00 on the three working days required, Monday, Wednesday and Thursday.

Willingness and ability to take ownership of tasks is key. The individual must be a problem solver and take initiative to resolve issues that they may face.

Core Role Duties:

  • Providing an excellent experience for our internal and external visitors to the office
  • Demonstrating sound knowledge of Arup procedures and in-house systems
  • Understanding the link between all Business Services disciplines and being able to draw on these relationships to deliver high quality outputs both to internal and external clients
  • Being aware of H&S best practice and have an interest in fire and first aid roles
  • Providing cover for facilities colleagues (post/couriers)
  • Booking taxis and dealing with invoicing
  • Supporting with client and social events
  • Assisting with ad hoc requests to ensure the smooth running of the office

Essential Skills and Qualifications:

  • Be experienced in standard office administrative procedures, including Microsoft packages
  • Demonstrate excellent communication skills, both written and verbal
  • Have excellent attention to detail and an ability to cope with changing deadlines, whilst remaining calm under pressure
  • Demonstrate reliability, flexibility, and adaptability
  • Display an engaging, enthusiastic, and confident manner with an interest in supporting the work we do

Desirable Skills and Experience:

Expertise with booking systems including Concur and Condeco would be advantageous.

Please note that due to recent changes in Off Payroll (IR35) legislation, our client only operates with contractors that operate via a PAYE or Umbrella model.
