The role
This is an exciting new part time expansion opportunity for someone to work in a challenging and fast learning environment as an Office Assistant. This role offers a great deal of variation assisting the whole team at Adsyst with any office / administration tasks and would be ideal for someone who enjoys a busy environment looking to learn / expand their administration skills.
The successful candidate will be mentored by our existing full time Office Assistant and gain knowledge of various areas of the business assisting with Purchasing, Employee Training records, Reporting on Project Milestones, Supplier Management and assisting Directors and Senior Management as required. We are looking for someone who is proactive, concise, has good attention to detail and excellent writing proficiency/literacy skills, enabling them to assist with a variety of demands from the business.
Duties include:
- Answer incoming telephone calls, take telephone messages where necessary
- Meeting and greeting visitors, assigning visitor passes
- Arranging buffet lunches for meetings/ clients
- General filing and shredding of documents
- Attending Training Sessions (both internal & external) when required
- Stock Keeping – Ordering of Stationery/ Printer Consumables and kitchen supplies
- Purchasing – Raising Purchase orders and ordering hardware for projects
- Creating BOMs (Bill of Materials) for projects
- Stores – Maintaining an accurate stores system
- Dealing with outgoing post including organising courier service, completion of appropriate forms / delivery notes and taking post to post office
- Scanning/copying/laminating/binding/and preparation of office documents.
- Booking hotels/parking and make Travel arrangements
- Maintaining holiday / sickness records and admin around these
- Car Insurance Log/Pool car and van tracking and Maintenance
- Any other task as requested by Management
Required Skills / Experience
Full and comprehensive training will be provided, however, applicants should possess the following:
- All applicants must have knowledge of Microsoft Word and Excel as minimum. Full training will be given in all other areas
- Full UK driving license and own vehicle is essential
- Have a fastidious attention to detail
- Genuine interest to develop organisational skills
- Financial awareness would be beneficial
- Experience in a similar previous role would be highly beneficial

Part time position – 20 hours per week, Monday to Friday (4 hours per day)
This position is for our Stafford office.
