Background
Hugh James is a top 100 UK law firm employing 700 staff in five offices, Cardiff, London, Manchester, Plymouth and Southampton. The London office has more than doubled in size in the last four years making a number of strategic partner hires to grow its presence in the city. The London office is moving to a new office in September.
Due to this continued growth and move we have a new opportunity for an efficient and motivated Office Assistant/Administrator to join our London team, to ensure the smooth day to day running of the office. The lawyers in the office undertake a variety of medical negligence, personal injury and commercial property work.
It is anticipated that the duties will include the following:
- Maintenance of files, mostly digital, some paper.
- Receive and sort any internal and external mail (both digital and hard copy) as well as dealing with any outgoing mail including dealing with deliveries and collections as required
- Arranging files to be archived
- Taking telephone calls from internal colleagues as well as external clients; taking accurate messages from lawyers and liaising with them as appropriate.
- Booking internal and external meeting rooms and ensuring internal meeting rooms are ready for use and cleared promptly following meetings
- Making travel and hotel bookings for lawyers as needed
- Setting up conferencing facilities, both telephone and Teams
- The preparation of letters, emails and forms required by the lawyers
- Scanning and photocopying bundles, when required
The successful candidate will be professional yet approachable, have exceptional communication skills, have a ‘can do’ attitude and be available on a part time or full time basis.
