Responsibilities:
Travel:
- Hotel bookings for UK travel
- Flight, hire car and hotel bookings for overseas travel
- Travel authorisation letters
Expenses:
- T@B expense submissions for Senior Managers - Within deadline as per PRO, avoiding rework/resubmission and “Red Memos”
Diary Management:
- Dealing with inquiries – for meetings, mentees etc.
- Programming meetings (including location /WebEx /telcon / VTC, etc.)
- Booking desks or offices using the Condeco system when required
- Moving meetings where necessary - Move meetings with subordinates as necessary
- Move meetings with peers/seniors when requested by Managers
Meetings:
- Coordination of off sites and other meetings: location, resources, accommodation, catering
- Forward / manage communications within Gosport and or program as requested
- Manage Distribution lists / Create distribution lists where required
Other Tasks:
- Specific admin tasks in support of other managers, as agreed with Senior Manager including overseas travel bookings and expenses support for managers
- CRI Projects
- Specific Admin tasks in support of projects (e.g. data collation etc.)
- Data Management Tasks
- Raise purchase requisitions within Oracle based procurement system for office supplies, training services, personal protective equipment and other ad hoc requirements
- Preparation of Monthly All Hands meeting material and running of meeting
- Maintenance of site access system
- Act as deputy for site support for sickness/holidays etc.
- Control of visitors
- Management of pool cars / arrange servicing / replacement / usage
- General administrative support to Gosport site as agreed
