Reporting directly to the Recruitment Manager, you will act as a focal point to OBM workers, this role will perform administrative duties to support the day-to-day activity of the OBM recruitment team, undertake timesheet reconciliation passing payment actions to the payroll team, invoicing (customer and worker), schedule and coordination of training and medical requirements, ensuring right to work checks are completed satisfactorily and business reporting duties for the business unit.
This role is eligible for hybrid working.
Roles and responsibilities are as follows;
- Responsible for organising training for Offshore Workers, including associated travel and accommodation.
- Responsible for organising medical assessments for workers as required based on client requirements.
- Collating monthly statistics such as holiday accrual and man hours.
- Responsible for checking and processing of subcontractor and supplier invoices.
- Setting new workers up on the OBM system and notifying payroll department and customers accordingly.
- Coordinating weekly and monthly timesheet collation and review ensuring any associated additional payments such as bonus and spot awards are passed for processing.
- Checking and processing of subcontractor payments, expenses and supplier invoices.
- Preparing monthly Sales Ledger invoicing and assisting with Credit Control queries.
- Collating year-end Sales Ledger reports as requested by the Finance Department.
- Ensuring all new workers hold in-date training and accreditation certifications.
- Ensuring all workers have evidence to support their 'right to work' and that copies of documentation have been sighted and are on file in case of audit.
- Providing business reporting as required to the Recruitment Team, General Manager and the ASCO Management Board. Dealing with all worker-related Client requests.
- Acting as first point of contact for all placed workers.
- Preparing and issuing all worker contractual documentation.
- Responsible for encouraging innovation by constantly monitoring and improving Business Support processes.

- Customer focused with experience within an administration role
- Experienced in developing and maintaining effective relationships with colleagues and customers
- Accustomed to working effectively in a fast-paced environment, flexible and can adapt to changing workloads and priorities, where high standards are not compromised under pressure
- Strong interpersonal and communication skills both verbal and written
- Ability to work stand-alone while positive contributor to the wider team
- Motivated to achieve the highest standards of performance and customer support, maintaining a culture of continuous improvement and innovation
- Solutions based with strong planning, organising and numeric skills, and excellent attention to detail
- Computer literate with well-developed IT skills across the Microsoft suite and a practical understanding of data entry and reporting applications
- National 5 or equivalent
- Experience with Recruitment CRM systems
